Position: Contract-SharePoint Online Business Engagement and Architecture Lead
Client: Global investment firm
Engagement Type: Contract
Location: [Remote / Hybrid]
Schedule & Duration: [Full-time, 40 hrs/week] | [Initial 6-month term, with potential extensions up
to 2 years]
This role a large-scale document management modernization program, moving content from Box, distributed file systems (DFS/file shares), and legacy SharePoint environments to SharePoint Online. You will join the program’s Business Unit (BU) Engagement team as an experienced consultant, independently leading assigned department engagements and guiding business stakeholders through source validation, content review, requirements gathering, site-design decisions, and business approval. You will work autonomously within program standards: structuring ambiguous requirements, leading productive workshops, recommending practical solutions, and driving decisions and follow-ups with minimal day-to-day direction. You will be accountable for the quality and progress of your assigned engagements and for clear, actionable handoffs to the technical migration team.
Strong SharePoint Online information architecture expertise is essential to translate business needs into usable sites, libraries, content types, metadata, navigation, permissions, and ownership requirements. You will partner with technical teams on feasibility and implementation. There may also be opportunities to contribute to migration tooling, reporting, and automation based on program needs and your expertise; these complement, rather than define, the role. The client’s technology organization is nimble and entrepreneurial, with open, agile design processes and a rapid pace of delivery, so everyone on the team can make an impact from day one. The team values collaboration, leadership, and innovation, and looks for problem solvers who are analytical, detailoriented, and inquisitive.
Key Responsibilities
Business Engagement and Content Readiness
• Identify and maintain business contacts, content owners, decision-makers, and business champions
for assigned engagements.
• Lead department onboarding using program overview materials, videos, and initiation discussions as appropriate; explain required business actions, responsibilities, and dependencies.
• Coordinate access to source inventories with the responsible team and guide department owners
through validating content scope, ownership, missing sources, and exceptions.
• Help business owners interpret redundant, obsolete, and trivial (ROT) assessment findings and
document content decisions, remediation needs, and unresolved questions; coordinate scan
requests and results with the team responsible for assessment execution.
• Provide clear review instructions and follow-up workshops so departments understand how to
complete source validation, content review, and content-type decisions.
• Track outstanding actions, approvals, dependencies, and engagement readiness; proactively follow
up and escalate issues that require program or business decisions.
SharePoint Architecture and Site Design
• Independently plan and lead site-design workshops, using program materials to understand
business processes, collaboration needs, content patterns, access requirements, and ownership.
• Recommend practical site and library structures, content types, metadata, navigation, and
permissions that meet business needs within enterprise standards, rather than simply replicating
legacy folders.
• Explain design options and trade-offs in plain language, challenge unclear requirements
constructively, and help stakeholders reach documented decisions.
• Capture lifecycle, retention, and restricted-content requirements and involve security, records,
compliance, and platform specialists where needed.
• Produce clear design documentation and source-to-target requirements; obtain and record businessowner approval before handing agreed requirements to the technical migration team.
• Partner with technical teams to resolve feasibility questions and design gaps, clarify approved
requirements during implementation, and coordinate business review of the resulting site.
Engagement Leadership and Consistent Delivery
• Own the day-to-day planning and progress of assigned department engagements, balancing multiple
priorities and moving work forward without waiting for step-by-step direction.
• Develop and maintain reusable email templates, review instructions, workshop materials, decision
logs, and handoff documentation so the BU Engagement team delivers consistent guidance.
• Identify gaps in training and communication materials, contribute clear business-facing guidance,
and share repeatable practices with other engagement team members.
• Provide concise status updates that distinguish completed work, outstanding business decisions,
risks, dependencies, and actions needed from other teams.
• Coordinate business readiness, validation, and adoption activities with the program and technical
migration teams. Technical migration execution, cutover, rollback, and reconciliation are not the
primary accountability of this role.
Additional Opportunities: Tooling and Automation
Depending on program needs and expertise demonstrated, you may also contribute to:
• Assessment and reporting activities using DryvIQ, ShareGate, or similar tools, in coordination with
the responsible technical team.
• Automation of engagement tracking, requirements intake, approvals, reporting, or repeatable
administrative tasks using Power Automate, Power Apps, scripting, or other approved tools.
• Testing and improving templates, reporting, and business-facing processes, and evaluating relevant
Microsoft 365 capabilities with platform and engineering partners.
Hands-on tooling and automation experience is valuable but is not a substitute for strong business
engagement leadership and SharePoint information architecture expertise
Required Qualifications
- 8+ years of experience in enterprise content management, collaboration platforms, business
technology consulting, or related delivery roles
• Demonstrated experience independently leading business engagement, requirements gathering,
and information architecture work within enterprise SharePoint Online or content migration programs
• Recent hands-on experience designing SharePoint Online sites, libraries, content types, metadata,
navigation, and permissions, with the ability to turn requirements into implementable designs
• Strong facilitation and consulting skills, including leading workshops with business leaders and
content owners, recommending solutions, resolving ambiguity, and securing documented decisions
• Experience guiding source inventory validation, interpreting content assessment or redundant,
obsolete, and trivial (ROT) findings, documenting content decisions, and preparing approved
requirements for technical delivery
• Working knowledge of migration considerations for Box, network file shares, or legacy SharePoint,
and the ability to distinguish business decisions from technical implementation responsibilities
• Ability to manage multiple department engagements autonomously, maintain clear records, follow
through on outstanding actions, and escalate material issues with practical options
• Strong written communication and documentation skills, including business-facing instructions,
reusable templates, design requirements, and concise leadership updates
• Sound judgment in balancing usability, business needs, security, governance, technical feasibility,
and supportability
• Bachelor’s degree or equivalent practical experience in information systems, information
architecture, business technology, or a related field
Preferred Qualifications
• Hands-on experience with DryvIQ, ShareGate, or comparable assessment and migration tools
• Experience improving workflows or reporting with Power Automate, Power Apps, scripting, or other
approved automation tools
• Practical understanding of Microsoft 365 Copilot and how content quality, permissions, and
information organization affect readiness
• Experience developing training materials, business-champion guidance, and repeatable
engagement practices for large or regulated organizations
