Job Title: Contracts Specialist Job Description The Contracts Specialist oversees the full lifecycle of contracts, from initial request through execution, storage, and renewal or termination. This role ensures all contracts comply with internal policies, approved templates, and applicable laws and regulations, while supporting internal stakeholders with timely, accurate, and compliant contract documentation. The Contracts Specialist actively manages a high volume of contracts using cloud-based tools and electronic databases, and contributes to continuous process improvement within a fast-paced, technology-driven environment. Responsibilities Receive and review requests for new contracts and amendments to existing contracts, ensuring they align with internal policies and approved contract templates. Handle inquiries about contracts and the contracting process in a timely and professional manner. Consult with internal leaders and employees to populate and customize approved contract templates with accurate and complete information. Coordinate legal review and approval of contracts prior to signature, ensuring required legal changes are incorporated and business comments are addressed. Facilitate contract signature processes, including routing documents for execution by appropriate internal entity leaders. Actively manage hundreds of contracts to ensure expiration notices are received, monitored, and acted upon by stakeholders at least 90 days prior to contract expiration. Ensure all fully executed contracts are properly uploaded into the master electronic contract management database and accurately logged. Organize and document work electronically using a contract log, electronic filing system, and cloud-based contract management tools. Assist with updating, maintaining, and improving the electronic contract management database, including data quality and consistency. Create, interpret, and maintain contract-related reports in Microsoft Excel using data from the electronic contract management database. Follow internal policies, standard operating procedures, and all applicable state and federal regulatory requirements related to contract management and compliance. Draft, edit, and process contracts in accordance with applicable laws, regulations, and organizational standards. Analyze and evaluate contract terms, conditions, and risks, and provide clear feedback or recommendations to stakeholders. Proactively identify opportunities to streamline contract administration processes and follow through on implementing new or improved procedures. Plan, prioritize, and manage a significant workload with minimal supervision in a fast-paced, tech-savvy environment. Collaborate and communicate tactfully and effectively with internal and external parties on sensitive and complex contract topics. Perform other contract-related tasks and administrative duties as requested. Essential Skills Demonstrated knowledge of principles, practices, and techniques of current contract administration, preparation, and negotiation, particularly within health care systems, academic medical centers, and children’s hospitals. Strong understanding of contract formats and legal language commonly used in contracts. Knowledge of ethics, principles, and best practices of contract administration. Proficiency in methods and techniques for drafting and preparing contracts. Experience using cloud-based contract management databases, such as MediTract or similar platforms. Ability to draft, edit, and process contracts in accordance with applicable federal, state, and local laws and regulations. Ability to read, understand, interpret, and apply provisions of legislation and regulations pertinent to contracts. Strong verbal and written communication skills, with the ability to clearly and concisely describe technical procedures, service delivery methodologies, and billing procedures. Effective communication and negotiation skills to support contract negotiations and stakeholder discussions. Ability to analyze and evaluate contract terms, conditions, and associated risks. Proven ability to manage a significant workload, prioritize projects appropriately, and work independently with minimal supervision. High level of accuracy and attention to detail, including the ability to type with speed and precision. Advanced proficiency with dual-monitor setups and modern software tools, including Microsoft Outlook, Word, Excel, PowerPoint, and Teams. Proficiency with Adobe Acrobat Professional, Zoom, Cisco WebEx, Cisco Jabber, and Smartsheet. Ability to plan and prioritize assignments effectively in a fast-paced, technology-driven work environment. Strong interpersonal skills, with the ability to interact tactfully and effectively with internal and external stakeholders on sensitive and complex topics. Demonstrated ability to adapt quickly to new technology and new processes with minimal explanation. Additional Skills & Qualifications Paralegal certification preferred. Experience working with health care systems, academic medical centers, or children’s hospitals is advantageous. Prior experience using MediTract or similar cloud-based contract management systems is beneficial. contract administration, proposals, and contract lifecycle management is desirable. Work Environment This role operates in a hybrid work environment, combining remote work with onsite presence as needed. Standard hours are approximately 7:30 AM to 4:00 PM, supporting a fast-paced, tech-savvy setting. The position relies heavily on electronic tools, including dual monitors, cloud-based contract management databases, and productivity software such as Microsoft Office, Adobe Acrobat Professional, Zoom, Cisco WebEx, Cisco Jabber, and Smartsheet. Work is primarily computer-based, with extensive use of electronic filing systems, contract logs, and online collaboration platforms. Job Type & Location This is a Contract position based out of Newark, CA. Pay and Benefits The pay range for this position is $35.00 - $71.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
