About The Role
We are seeking a proactive and organised Coordination and Planning Officer to provide business support to a senior leadership office within a NSW Government environment.
This is a hands-on coordination role suited to someone who enjoys keeping operations organised, managing incoming requests and working with different teams to ensure information and actions are handled efficiently. You will support executive correspondence, internal requests, staff engagement activities and general business administration, helping the wider group maintain visibility of priorities and deliver its objectives.
You will work alongside an established coordination team and liaise regularly with stakeholders across several divisions. A positive attitude, strong organisational skills and a willingness to learn will be important to your success.

- Position: Coordination and Planning Officer
- Rate: $500-$700 per day + super
- Location: Parramatta, NSW
- Working Arrangement: Hybrid, with three days per week in the office
- Start Date: ASAP
- End Date: 30 April 2027
- Hours: 40 hours per week, 8 hours per day
- Coordinate incoming requests and monitor shared inboxes, ensuring enquiries are directed to the appropriate teams for action.
- Maintain tracking spreadsheets, action registers and workflow systems to monitor progress, outstanding items and deadlines.
- Liaise with internal divisions to gather information, follow up on requests and support timely responses.
- Assist with preparing, reviewing and coordinating correspondence, briefing documents, meeting materials and other executive documentation.
- Support the collation and distribution of documents requiring review or approval by senior executives.
- Provide day-to-day administrative and operational support across the wider business group.
- Assist with organising team meetings, staff engagement activities, onboarding sessions and internal events.
- Coordinate interview schedules, meeting arrangements and related administrative requirements.
- Process invoices, organise payments and assist with routine finance and business administration tasks.
- Maintain accurate records and ensure documents and information are handled appropriately.
- Monitor outstanding actions and flag delays, issues or competing priorities to the relevant team members.
- Contribute to improving administrative processes, record-keeping practices and coordination workflows.
- Build effective working relationships with colleagues and stakeholders across multiple business areas.
- Provide responsive support to the team while managing changing priorities in a busy environment.
- Experience in administration, business support, coordination, customer service or a similar operational role.
- Previous experience in government, the public sector, a university or a large organisation will be highly regarded.
- Strong organisational skills, with the ability to manage competing tasks and follow up outstanding actions.
- Confident written and verbal communication skills, including the ability to communicate professionally with stakeholders at different levels.
- Proficiency in Microsoft Office applications, particularly Outlook, Word, Excel and PowerPoint.
- Experience maintaining spreadsheets, registers, shared inboxes or other administrative tracking systems.
- A customer-focused and service-oriented approach, with a genuine interest in supporting colleagues and business operations.
- A collaborative mindset and willingness to share information, seek guidance and contribute to team outcomes.
- A proactive attitude, with the confidence to ask questions, learn new systems and take ownership of assigned tasks.
- Strong attention to detail and the ability to handle information sensitively and maintain accurate records.
- Flexibility and resilience when responding to changing priorities and time-sensitive requests.
- Familiarity with workflow or task management tools such as Asana is advantageous but not essential.
- Previous exposure to government processes, executive correspondence, governance support or staff engagement activities will be beneficial.
- Valid working rights in Australia are mandatory. Sponsorship is not available. Applicants must be Australian citizens, permanent residents or hold a suitable long-term Australian working visa
