It’s that curiosity that’s at the heart of everything we do. From our legendary people-first culture to the hundreds of Fingerpainters who define us, we’ve reimagined what it means to be a healthcare and wellness advertising agency. Here, creativity happens naturally—we attract top talent and collaborate.

People and Culture Coordinator

The Opportunity

We are seeking a highly motivated and detail-oriented People & Culture Coordinator to join our team. In this role, you will be the operational engine behind a high-performing P&C function, owning the accuracy, timeliness, and experience touchpoints that define how employees interact with P&C every day. This is a role for someone who thrives in a fast-moving environment and brings a genuine sense of ownership to every task.

What you’ll do:

Employee Lifecycle Administration

· Onboarding + New Hire Experience: own end-to-end coordination. I-9 verification, system set up, and first-week scheduling. Manage before Day 1 through the 30-day mark, including check-ins and document collection

· Status changes: process promotions, transfers, and separations with accuracy and timeliness

· Offboarding: coordinate exits, system access removal, final pay routing, and COBRA/benefits notifications

· Employee files: maintain accurate, complete, and compliant files

HRIS & Data

· Maintain and update employee records with accuracy, errors caught before they reach payroll or benefits

· Conduct proactive record audits to identify and resolve discrepancies

· Generate standard reports (headcount, tenure, demographics, time off) on a consistent cadence

· Respond to ad hoc data requests accurately and on time

· Develop HRIS expertise and flag opportunities to improve system workflows

· Serve as a hands-on contributor to a Rippling HRIS implementation — including data migration, system/workflow configuration and validation, etc.

Benefit Admin Support

· Serve as Tier 1 support for employee benefit questions; know when to escalate to Benefits Manager/team

· Manage open enrollment logistics including communications, deadlines, vendor uploads, and post-enrollment audits

· Process qualifying life events within compliance windows

· Track and reconcile benefits invoices, flag discrepancies to Benefits Manager/Finance

Employee Communication

· Manage the HR inbox, serving as Tier 1 support to general employee inquires

· Support culture and engagement initiatives — recognition programs, wellness initiatives, and annual engagement survey logistics

· Assist in the communication and distribution of company HR policies and procedures

Projects & Initiatives

· Participate in P&C projects and initiatives as assigned; bringing a continuous-improvement mindset to everything you touch

Key Experience & Qualifications

· 1–2 years of experience in a related role

· Bachelor's degree in Human Resources, Business Administration, or a related field

· Proven ability to build relationships with employees at all levels

· Proficiency in Excel and HRIS systems (not just data entry)

· Strong analytical and problem-solving abilities

· Highly detail-oriented and versatile; thrives in a fast-moving, remote environment

· Ability to work independently and manage priorities

· Team-oriented and adaptable to change

· Experience with HRIS systems is a plus (Rippling strongly preferred)

Competencies

· Solution-Oriented Mindset: identifies practical fixes to employee inquiries and HRIS discrepancies; escalates issues with a recommended course of action

· Interpersonal & Communication Skills: approachable and professional first point of contact; translates complex HR policies into clear, digestible information

· Organizational & Time Management: prioritizes high-volume administrative tasks to ensure lifecycle milestones and compliance deadlines are met

· Initiative & Proactivity: anticipates team needs and surfaces issues before being prompted; does not wait to disclose issues and bring resolutions forward

· Strategic Thinking: looks beyond individual tasks to connect P&C work to broader team and organization goals; identifies patterns in data and process, and thinks about how today's decisions shape tomorrow's work
