Who we are:

At Preferred Travel Group, we champion the power of travel to inspire meaningful connections and enrich lives around the world. As a global family of brands and programs representing the finest independent hotels and resorts, we are united by a shared belief in authenticity, collaboration, and the value of independent spirit. Our culture reflects our ideology in action: people first, relationships at the center, and a commitment to creating lasting impact for our partners, our global community, and one another. When you join Preferred, you become part of a purpose-driven organization where ideas are welcomed, growth is encouraged, and your work contributes to shaping the future of travel.

Why this role matters:

We are seeking a highly organized and proactive Program Coordinator to provide administrative, operational, and project support across our Alliance Partnerships, Quality Assurance, and Preferred Golf programs. This role works closely with leadership, member hotels, partners, vendors, and internal teams to coordinate program activities, maintain accurate records, support communications, and help ensure the successful execution of key initiatives in a fast-paced environment.

Success in this role comes from consistently keeping program activities, records, communications, and deadlines organized and moving forward. Success also means building productive relationships with hotels, partners, vendors, and internal stakeholders; identifying issues early; and providing accurate, timely information that supports compliance, informed decisions, and strong program execution.

What you’ll deliver:

  • Coordinate Quality Assurance inspections, compliance activities, schedules, follow-up actions, training sessions, and communications with hotels, auditors, regional teams, and internal stakeholders.
  • Track program requirements, action plans, deadlines, agreements, sponsorship commitments, deliverables, milestones, payments, and other outstanding items.
  • Maintain accurate records, standards, procedures, participant data, resource libraries, internal portals, databases, CRM information, and reporting across assigned programs.
  • Monitor shared inboxes and provide timely, professional responses to routine inquiries from associates, hotels, partners, and vendors.
  • Process invoices, track payments, review billing for accuracy, and maintain supporting documentation.
  • Coordinate Alliance Partner and Preferred Golf onboarding, engagement, marketing initiatives, educational programs, events, newsletters, and promotional campaigns.
  • Prepare meeting materials, presentations, executive summaries, status updates, performance reports, and trend analyses for leadership.
  • Support special projects, continuous improvement efforts, and cross-functional initiatives that strengthen program effectiveness and operational efficiency.

What you’ll bring to the team:

  • Demonstrated administrative or program coordination experience in a fast-paced, deadline-driven environment.
  • Excellent written and verbal communication skills, with the ability to work effectively with leadership, hotels, partners, vendors, and cross-functional teams.
  • Strong organization, prioritization, and multitasking skills, with the ability to manage multiple projects and deadlines simultaneously.
  • Exceptional attention to detail and a consistent commitment to accurate records, data, billing, and communications.
  • Ability to work independently, exercise sound judgment, identify concerns, and maintain confidentiality.
  • Strong proficiency in Microsoft Excel, Word, and PowerPoint, including pivot tables, VLOOKUP, and mail merge.
  • Practical project-management skills and a collaborative, service-oriented approach.

What Would Make You Stand Out:

  • Experience supporting hospitality, hotel membership, quality assurance, partnership, sponsorship, or golf programs.
  • Experience with SharePoint, CRM platforms, internal portals, or program databases.
  • Experience coordinating inspections, compliance requirements, training, events, marketing campaigns, or partner onboarding.

Where you’ll thrive

  • A busy, collaborative environment where staying organised, juggling priorities, and working with different teams helps keep everything running smoothly.
  • A role with plenty of structure and variety, where attention to detail and good follow-through make a real difference every day.
  • Clear responsibilities and ownership, with the opportunity to see tasks through from start to finish and take pride in getting things done well.
  • A team that values reliability and accountability, where people keep their commitments, support one another, and lead by example when it comes to ways of working.

Our Working Culture:

With our in-office philosophy, our associates are expected to be in the office at least three days per week, supporting a healthy balance between in-person collaboration and flexible remote work. We take pride in our vibrant and inclusive culture, which thrives on meaningful connection, shared purpose, and cross-functional teamwork. In-office engagement plays a vital role in fostering spontaneous collaboration, accelerating innovation, and strengthening relationships across teams. It also provides valuable opportunities for mentorship, professional development, and a deeper sense of community.

Please note: While the current expectation is a minimum of three days per week in the office, this may evolve over time in alignment with business needs and our continued commitment to culture-building
