Position Summary:
The Coordinator for the Office of Research is responsible for a wide range of complex administrative support to the Office of Research and Associate Dean for Research. The Office of Research supports the research activities in all SPAHP programs to include Pharmacy, Occupational Therapy, and Physical Therapy. The Coordinator is responsible for all activities related to the administration of multiple grants. This position works closely with Sponsored Programs Administration and provides support for grants management to include grant applications, administration, and post award financial reporting. They will collect data and organize grant information and research activities across the School’s programs, including scholarly work of researchers and all other faculty. This role will also provide general administrative support for the Graduate Programs in Pharmaceutical Sciences as well as the Student Research Fellowship program. Additional duties as assigned.
Essential Functions:
60% Provide Grant Administration and Research support
- Preparation of grant and other funding proposals including budget development
- Collection of subrecipient/external collaborator’s required documents
- Collection/preparation of institutional information required by the funding guidelines
- Assisting with the preparation of the application in the InfoEd electronic research administration system
- Coordinating Personnel Activity Reports (PARS)
- Approving/monitoring expenditures
- Preparing journal entries
- Creating progress reports, including monthly meetings with principal investigators, as needed
- Closeout documents and the final financial reconciliation of the grant fund
- Startup funds tracking for faculty research
- Coordinate with lab managers to maintain database regarding the inventory of instruments and equipment used in SPAHP research labs, including maintenance agreements
- Collect data on research activities across SPAHP and create reports that can be shared and distributed to others.
- Create and maintain research outcomes for SPAHP database (Grants submitted, received, scholarly work of each program, publications and presentations etc).
- Create Employee Action Forms when necessary, ensuring accurate funding codes and supervision
- Order equipment, services, and supplies for Office of Research and program specific research budgets
20% Provide support to Graduate Programs in Pharmaceutical Sciences
- Provide general program support including communication, room reservations, meeting set up, assist with MPS program for bulletin, and add content to the MPS Facebook
- Support approximately 12 students in the program including scheduling student committee meetings, arrange thesis defenses, assist with poster/presentation preparation, register students for national and regional meetings and presentations, act as liaison between graduate students and Graduate School regarding program related issues.
- Provide support to Student Research Fellowship.
- Support program logistics to include communication and correspondence to faculty and students participants; Coordinate introductory/ check-in luncheons with program students; Oversee Financial Aid disbursements to student, track Student Research Fellowship program budget.
20% Provide administrative support to the Associate Dean of Research
- Scheduling meetings, reserving rooms, arrange travel as necessary, assist with correspondence and communication, organize and maintain paper and electronic files and other administrative tasks.
- Support budget management for the Office of Research to include overseeing P card expenses, process invoices, and expenses reimbursements.
- Gather grant information from Sponsored Programs Administration to compile school research poster, compile school-wide research interests for interested parties to review, compile a representative sampling of scholarly works for interested parties to review.
Education & Experience:
- Bachelor’s degree required
- CRA, CFRA, or CPRA certifications preferred
- 3 years administrative and/or office management experience
- Financial management experience required
- Experience with Grants management is required
- Proficiency in Microsoft Office Suite to include Word, Excel, PowerPoint, Outlook and Tableau
