The Opportunity

We are seeking a Corporate Administrative Coordinator to support the daily operations of our Operations Department and Brokerage. In this role, you will assist department staff with various administrative tasks, help streamline processes, and contribute to maintaining efficient operations and high service standards.

  • Review, process, and accurately file accounts payable invoices.
  • Liaise with vendors to investigate and resolve invoice discrepancies.
  • Coordinate and manage travel arrangements and bookings for Canadian employee business travel.
  • Input exchange rates into UFS+/SENS and distribute updates as required.
  • Oversee cargo and freight claims across all departments, maintain reporting records, and track key metrics within the claims database.
  • Receive, review, and process credit card payments and transactions.
  • Verify customer credit applications and supporting documentation to ensure completeness and accuracy for management review.
  • Maintain credit account records and update customer credit information within internal systems.
  • Prepare and maintain comprehensive purchasing records, including costs, items ordered, and issue resolution details.
  • Build and maintain effective working relationships with suppliers and vendors.
  • Monitor inventory levels and recommend stock adjustments as required.
  • Perform reception and front-office responsibilities, including answering phones, welcoming visitors, managing incoming and outgoing mail, coordinating courier services, ordering office and kitchen supplies, and arranging working lunches and related set-up/clean-up activities.
  • Collaborate with internal departments to coordinate projects and activities, while acting as a liaison with external stakeholders on administrative matters.
  • Provide administrative support to members of the Administration team and perform other related duties as assigned by management.

What You Bring

  • Fluent in both written and spoken English.
  • Formal academic training in a related discipline, or an equivalent combination of education, training, and two to four years of relevant work experience.
  • Strong ability to read and interpret basic instructions, correspondence, and internal communications.
  • Capable of preparing clear, concise, and professional written correspondence.
  • Effective interpersonal and communication skills, with the ability to present information clearly in one-on-one and small group settings with customers, clients, and colleagues.
  • Demonstrated mathematical aptitude, including the ability to perform addition, subtraction, multiplication, and division using whole numbers, fractions, and decimals.
  • Ability to calculate and interpret rates, ratios, percentages, and graphical data.
  • Proficient in the use of personal computer applications, including email, database maintenance, electronic record keeping, word processing, spreadsheets, and other standard office software.

Compensation: Salary range starting from $44,000 to $45,000 per year, with opportunities for growth and advancement based on performance and contribution.
