This role combines legal administration, organization, and process improvement, with opportunities to leverage technology and AI-enabled tools to improve efficiency while protecting confidential information.

What You'll Do

  • Maintain corporate records, governance documents, policies, entity records, and other official organizational documentation.
  • Support contract administration by coordinating reviews, approvals, signatures, renewals, and deadlines for vendor agreements, nondisclosure agreements, leases, inter-affiliate agreements, and other contracts.
  • Coordinate legal records management, discovery, legal holds, records preservation, document retention, and responses to internal, regulatory, and legal information requests.
  • Coordinate the handling of subpoenas, garnishments, court orders, and other legal process by routing requests, gathering information, tracking deadlines, and maintaining supporting documentation.
  • Support corporate governance, entity management, due diligence, organizational changes, mergers, and affiliated entity documentation and filings.
  • Assist with regulatory filings and compliance obligations, including those related to registered investment advisers and affiliated entities, as applicable.
  • Coordinate with outside counsel, consultants, vendors, and internal stakeholders on legal matters, research, documentation, and information requests.
  • Track contractual obligations, regulatory deadlines, governance requirements, and other deliverables to support timely completion and accurate reporting.
  • Maintain legal document repositories, the virtual law library, contract management systems, and related records.
  • Support the implementation and improvement of legal technology, document management, workflow automation, and responsible AI-enabled tools.
  • Partner across Legal, Compliance, Risk, Technology, Operations, Finance, People & Culture, and other business units to strengthen governance and legal processes.
  • Handle confidential legal, corporate, employee, and regulatory information with professionalism and discretion.

What We're Looking For

  • Bachelor’s degree required; Legal Studies, Business, Finance, or a related field preferred.
  • 5+ years of experience as a corporate paralegal or legal assistant, preferably in-house at a financial institution, investment management organization, or professional services firm.
  • Strong experience supporting corporate governance, entity management, legal documentation, and records administration.
  • Experience coordinating contract workflows, approvals, execution, renewals, and contractual obligations.
  • Familiarity with subpoenas, discovery, legal holds, records preservation, and document retention requirements.
  • Working knowledge of regulatory filings, compliance documentation, audits, examinations, and regulatory information requests; registered investment adviser or wealth management experience preferred.
  • Proficiency with Microsoft Office and legal technology, including contract management systems, document repositories, and legal research tools.
  • Ability to use emerging AI tools responsibly for research, document review, and workflow efficiency while protecting confidential information and verifying accuracy.
  • Excellent organizational, analytical, and problem-solving skills, with strong attention to detail and the ability to manage competing priorities.
  • Strong written and verbal communication skills and the ability to collaborate with executives, attorneys, outside counsel, vendors, and cross-functional teams.
  • High level of professionalism, confidentiality, discretion, and sound judgment.
  • Paralegal certification preferred but not required.
