The Second Judicial District is accepting applications for a Court Operations Associate to work on the Orders and Judgments team in the Civil/Family division. This is a full-time, permanent position, and is located at the Second Judicial District Courthouse, 15 W Kellogg Blvd, St. Paul, MN 55102. The Orders and Judgments team handles all orders associated with Civil and Family matters as well as general case processing for Guardianships/Conservatorships.

This is a highly detail-oriented Court Operations Associate position that requires a considerable amount of data entry, and the application of sound, quick, independent judgment. This position requires the ability to effectively manage competing demands simultaneously. A successful candidate must possess competent technical skills, excellent communication, organizational and problem-solving skills, as well as other knowledge, skills, and abilities listed below.

This position may allow for flexible scheduling and remote work.

Responsibilities

The following are examples of major job duties expected of this position.

  • Perform the full scope of varied court clerical work involved in order processing in Civil and Family as well as processing of Guardianships/Conservatorships; utilizing MNCIS (court electronic case processing system), Electronic File and Serve, DocuSign, Microsoft Office Suite, and related computer systems.
  • Assure confidentiality in compliance with local, state and federal statutes and court rules.
  • Assure completeness and accuracy of court records. Assist Judicial Officers with access to documents or other information from court administration.

  • High school diploma or equivalent
  • One (1) year of relevant job experience or greater, which may include but is not limited to customer service, administrative work, office, and clerical work.

Knowledge, Skills and Abilities

  • Knowledge of court procedures and policies, laws, legal terminology, and legal factors pertaining to the court.
  • Knowledge of appropriate procedures for processing a variety of legal documents and for proper record imaging, maintenance, and retention.
  • Ability to adhere to the policies and procedures within Civil, Family, and Guardianships/Conservatorships, particularly applicable rules, statutes, policies, and procedures for access to records and document security.
  • Ability to read and comprehend rules, statutes and legal documents of varying type and complexity.
  • Ability to communicate effectively and respectfully with a diverse group of court stakeholders, judicial officers, and MJB staff in person, on the telephone, by email, and during courtroom proceedings as needed.
  • Ability to handle sensitive and confidential matters and case information appropriately and in compliance with all applicable court rules, policies, and statutes.
  • Ability to communicate concisely and clearly, both orally and in writing, as well as understand and follow oral and written instructions.
  • Ability to take direction well and maintain a professional and positive attitude through challenging circumstances.
  • Ability to perform court work both quickly and accurately and to focus on priority tasks while keeping track of multiple simultaneous duties.
  • Ability to learn and utilize electronic tools, including electronic filing, electronic document management, eSignatures, Microsoft Office, ADOBE, and MNCIS.

Preferred Qualifications

  • Advanced degree in the legal field such as AAS in Paralegal studies.
  • At least six months experience in order processing.
  • Working Conditions

  • Work is performed primarily remote, however, there may be times you are required to come onsite. The need to work under pressure in a fast-paced environment while maintaining a calm demeanor and high level of accuracy.

Physical Demands

Work is essentially sedentary with occasional walking, standing, bending, and carrying items up to 25 pounds. Some assignments may require periods of extended sitting, standing or computer use.
