Title: CPT-11649 Acquisition & Executive Operations Assistant Virtual Assistant

Independent Contractor – CPT-11649 Acquisition & Executive Operations Assistant Virtual Assistant/Business Support VA/Junior-Senior Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

A U.S.-based holding company is seeking a full-time Acquisition & Executive Operations Assistant Virtual Assistant to support business-owner outreach, acquisition administration, executive operations, and occasional personal administrative tasks.
Acquisition outreach will remain the primary responsibility, comprising approximately half of the role. The VA will conduct professional follow-ups with business owners who have already received company outreach, determine whether they are open to a brief introductory conversation with the client, and schedule qualified introductory meetings.
The remaining responsibilities will include acquisition administration, meeting preparation and follow-up, inbox and calendar support, vendor communications, invoicing follow-ups, document organization, research, and occasional personal executive assistance.
This is not a lead-generation, high-pressure sales, or closing position. Target lists, outreach processes, scripts, SOPs, and training will be provided. The focus is on professional communication, relationship management, sound judgment, accurate documentation, and reliable execution.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

Business Owner Outreach & Appointment Setting

  • Contact business owners who have previously received company outreach using established scripts, procedures, and target lists.
  • Conduct professional follow-up calls using a mature, respectful, and relationship-oriented approach.
  • Determine whether business owners are open to a brief introductory conversation with the client, without directly asking whether they are interested in selling their business.
  • Schedule qualified introductory meetings with the client following established outreach procedures.
  • Maintain protected calling blocks from 8:00 AM–11:30 AM and 1:00 PM–3:00 PM CT.
  • Maintain a minimum of 30 outbound dials per day once fully ramped.
  • Document call outcomes, meaningful conversations, objections, follow-up requirements, and next steps.
  • Handle routine questions professionally while avoiding discussions or negotiations regarding transaction terms.
  • Escalate questions regarding valuation, financing, deal terms, or timing directly to the client rather than addressing them independently.
  • Maintain a calm, professional, and consultative communication style.
  • Prioritize acquisition outreach over administrative responsibilities when competing priorities arise.

Relationship Management & Follow-Up

  • Follow up with business owners according to established outreach sequences.
  • Maintain professional relationships with business owners through consistent and relationship-oriented communication.
  • Confirm and maintain accurate owner names, direct contact information, and preferred communication methods.
  • Record interest, timing, objections, communication history, and appropriate next steps.
  • Schedule future follow-ups as appropriate.
  • Coordinate meeting confirmations and reminder communications.
  • Maintain accurate follow-up schedules and ensure outstanding communications are completed on time.

Acquisition Administration

  • Maintain accurate acquisition and outreach records, contact information, follow-up schedules, and appointment details.
  • Update tracking systems with call outcomes, activity notes, dispositions, and next steps.
  • Assist with broker correspondence and other acquisition-related communications.
  • Organize acquisition and deal-related documents and maintain orderly records.
  • Support research on companies, owners, business contacts, and other relevant information.
  • Assist with post-meeting correspondence, record updates, and tracking of outstanding action items.

Pre-Meeting Briefs & Post-Meeting Follow-Up

  • Prepare a concise, standardized briefing before each acquisition-related meeting.
  • Include relevant company background, owner information, previous correspondence, business details, and suggested discussion questions.
  • Ensure relevant information is properly organized before scheduled acquisition conversations.
  • Assist with follow-up correspondence after meetings.
  • Update applicable records and track outstanding tasks, commitments, and next steps.

Executive & General Business Support

  • Assist with inbox organization and routine email correspondence.
  • Manage calendar coordination, scheduling, appointments, and meeting-related administrative tasks.
  • Coordinate routine communications with vendors and other external contacts.
  • Assist with invoicing follow-ups and related administrative tracking.
  • Perform research and other general business support tasks as directed.
  • Provide additional executive administrative support while ensuring acquisition outreach remains the priority.

Personal Executive Assistance

Provide occasional administrative assistance with:

  • Travel research and coordination
  • Reservations
  • Appointment scheduling
  • Property research
  • Other reasonable executive administrative tasks as directed.

LinkedIn & Referral Relationship Support

  • Draft professional LinkedIn outreach and follow-up messages for the client's review.
  • Track LinkedIn replies, follow-ups, and next steps.
  • Maintain organized records of LinkedIn activity.
  • The client will send LinkedIn messages directly from their own account.
  • Assist with relationship-building initiatives involving professional referral sources, including business brokers, CPAs, attorneys, and other relevant business professionals.

Daily Reporting

Prepare a structured end-of-day executive summary covering:

  • Outreach activity
  • Meaningful business-owner conversations
  • Scheduled meetings
  • Pending follow-ups
  • Completed administrative tasks
  • Outstanding action items
  • Matters requiring the client's attention.

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.
