The Opportunity:

The Creative Account Coordinator is responsible for providing overall creative project support to the Client Solutions department.

A Day in the Life (What you will do here):

  • Ensure smooth daily and client satisfaction for assigned projects
  • Up-to-the-minute awareness of assigned projects, executed per Sentrex process

  • Rapidly responds to all messages on MS Teams and Outlook

  • Provides internal status updates and attends meetings, updates project status reports daily and communicates relevant information

  • Responsible for meeting notes and their circulation

  • Updates project copy documents and maintains version control

  • Assists with formatting of Excel, Word and PowerPoint documents

  • Ensures project folders are kept organized per department SOPs

  • Assists with creating surveys in Survey Monkey and organization of collected responses

  • Assists with MailChimp campaigns and LinkedIn content, posts and analytics

  • Assists with updating PPT slide presentations and client meeting preparation

  • Liaises with cross-functional support (e.g. translation, client’s administration, printer)

  • Coordinates PAAB/ASC submissions and maintains file folders with relevant documents

  • Coordinates submission of project copy documents and layouts through client’s medical, legal, regulatory system

  • Triages Client Solutions inbox and keep department calendar up to date

  • Creates and updates project cards in departmental Project Tracking system (Trello)

  • Files invoices in appropriate folders

  • Data entry as requested, e.g. logging hours of Freelancers into appropriate project cards

  • Executes other ad-hoc administrative duties, as they are assigned.

What you need to ensure you are set up for success:

  • High school diploma combined with 2 years of community college, secretarial and/or equivalent work-related experience providing office administration services
  • Experience working with Creative/Marketing agencies is an asset
  • Exceptional organizational skills
  • Outstanding attention to detail
  • Able to manage multiple projects and cope with changing priorities
  • Able to stay calm when working with tight timelines
  • Produces quality work under pressure
  • Is thorough, accurate and logical
  • Maintains a professional and positive attitude
  • Receptive to feedback and has a growth-mindset
  • Willing to pitch in when ‘all hands on deck’ are required, regardless of the task
  • Excellent verbal and written communication, listening, and customer service skills

  • High level of proficiency with Information Technology as well as computer and software skills: Microsoft Office suite of applications, Trello, Sharepoint, Survey Monkey, MailChimp, etc.
  • Self-directed, working independently with minimal supervision
  • Proactive, dynamic and demonstrates an ability to work collaboratively

  • The anticipated base salary hiring range for this role is $50k to $55k annually. The final base salary will be determined based on relevant experience, skills, and internal equity
