Creative Operations Manager / Creative Project Manager

About Zabota

Zabota is a top-ranked global recruitment firm, recognized as a Top HR Staffing Company by Clutch in 2025. We specialize in helping high-growth U.S. brands build elite, remote-first teams. Our mission is clear: Connect world-class talent from LATAM, Europe, and beyond with the most ambitious companies in the world.

About Our Client

Our client is a performance advertising and creative agency working with consumer brands, producing high-performing creative assets for paid social campaigns, including UGC, static ads, and studio-produced content.

About the Role

We are looking for a highly organized, proactive Creative Operations Manager / Creative Project Manager to own the end-to-end creative production process across multiple brands. You will coordinate creators, editors, graphic designers, and internal stakeholders to ensure deliverables move smoothly from briefing through filming, editing, revisions, approvals, and final delivery.

This is a hands-on operational role for someone who takes ownership of deadlines, anticipates bottlenecks, follows up consistently, and ensures nothing falls through the cracks. Client communication is primarily written, through Slack and similar channels; regular client calls are not required.

The right person will help improve production systems, increase accountability, and ensure high-quality creative is delivered on time. Over time, there may be opportunities to grow into post-production leadership, manage other project managers, or transition into creative strategy.

Responsibilities

  • End-to-End Production Management: Own the creative production workflow from briefing through filming, editing, revisions, approvals, and final delivery.

  • Creator Management: Coordinate creator sourcing and onboarding, communicate briefs and deadlines, track shipments and production requirements, collect footage, and ensure timely delivery.

  • Team Coordination: Manage workflows across two video editors and two graphic designers, ensuring clear assignments, timely feedback, and efficient revisions across multiple brands.

  • Deadline and Follow-Up Management: Review open tasks daily, establish clear deadlines, proactively follow up with creators and internal teams, and prevent bottlenecks throughout production.

  • Creative Quality Control: Review footage, edits, and designs before client delivery, applying strong creative judgment and ensuring alignment with brand guidelines.

  • Written Client Communication: Provide updates, manage approvals, and proactively communicate delays or issues, primarily through Slack. Regular client calls are not required.

  • Operational Systems: Keep production trackers, assets, and timelines organized and up to date using tools such as Frame.io, Milanote, Notion, and Google Sheets.

  • Process Improvement: Build and improve tracking and follow-up systems to increase visibility, reduce errors, and keep every deliverable moving forward.

  • Internal Communication: Proactively communicate with founders and senior stakeholders, follow up on outstanding feedback, escalate blockers, and propose solutions.

  • AI Experimentation: Explore AI tools to reduce errors, improve visibility, streamline workflows, and shorten production timelines.

  • Delivery Ownership: Ensure deliverables are completed on time for assigned clients, with on-time delivery as the primary performance KPI.

Qualifications

  • 3+ years of relevant experience in creative production, agency operations, UGC production, or post-production management.

  • Exceptional organizational skills and attention to detail; able to track every deliverable, deadline, dependency, and next step.

  • A proactive ownership mentality: anticipates bottlenecks, follows up consistently, solves problems independently, and takes responsibility for delivery.

  • Strong written English and polished communication skills when working with U.S.-based clients, creators, internal teams, and leadership.

  • A strong creative eye and understanding of social-first content, UGC scripts, and brand guidelines.

  • Experience managing creators and editors for paid social advertising is a major advantage.

  • Ability to manage multiple brands and production timelines simultaneously, scaling to approximately 5–10 client workstreams.

  • Experience with project management tools such as Notion, Frame.io, Milanote, Google Sheets, or Asana.

  • Interest in experimenting with AI to improve operational efficiency.
