Customer Service Assistant – Backorder Updates

Customer Service | Existing Orders | Remote | Full-time or part-time
£28.50–£30.75 per hour

An item can be available when a customer places an order and become delayed before it is fulfilled. The customer still needs an honest picture of the order’s current status and the next confirmed step. This position handles routine backorder messages for existing purchases, using information approved by the order team. It is not a stock-planning or purchasing job. You would not invent a dispatch date, choose a substitute item or promise a refund without authorisation.

Follow the order’s actual status

Before writing, find the correct order and check its latest recorded stage. A partial order may contain items with different statuses, so the message should say which part is affected. If a new expected date appears in an approved update, use that wording; if no reliable date exists, do not make one up to sound helpful. You may need to read an earlier email to avoid sending the customer the same outdated explanation twice. When an update changes, the record should show what was communicated and when.

The work may include:

  • Identify the order and affected item from the assigned backorder queue.
  • Compare the customer-facing update with the latest approved stock note.
  • Draft or send a clear message through the assigned online channel.
  • State whether another item in the same order is unaffected when that is confirmed.
  • Ask the order owner about a contradictory status before contacting the customer.
  • Note a reply about cancellation or substitution for the authorised team.
  • Keep a promised follow-up visible if the employer’s process calls for one.
  • Update the communication record after the message has actually been sent.

What happens after a reply

A customer may say that they can wait, ask for an alternative product or decide they no longer want the order. Those are different responses. Record the actual request and explain the approved next step, without changing the order beyond the permissions given to you. A question about an available substitute goes to the team that can confirm stock and terms. A cancellation request goes through the relevant process; it is not complete because the customer asked for it in an email.

If a customer has already been told a date that has passed, acknowledge the discrepancy using the employer’s current information. Do not silently repeat the old date or blame a particular team without evidence. A useful response says what is known now, what remains open and how the customer will receive the next update under the company’s procedure. That straightforward customer service can help preserve trust even when the news is unwelcome.

Office administration is part of keeping the queue honest. Separate an order waiting for stock from a case waiting for the customer’s decision. Link new messages to the original order rather than opening unrelated notes. Another colleague should be able to see the current status and avoid asking the person to repeat their request. If a discrepancy between the online order page and the internal record appears, flag it for the owner who can correct the source.

Who this suits

The hiring company will train you on its product categories, status labels and approved replies. Previous order-support experience is useful, but no prior backorder experience is required. We are looking for someone who compares details, writes calmly and can leave a question open when the answer is not available. Work is remote through email and online order systems; a dependable home office setup supports accurate handling of several conversations at once.

The actual schedule will be agreed for the client vacancy, which may be part-time or full-time. The hourly range is shown above. The task has a clear limit: help the customer understand a confirmed delay and make sure any choice they raise reaches the team that can act on it.

Apply

Please explain how you would tell a customer that a delivery date is not yet confirmed. An example of handling disappointing news clearly is useful, whether it comes from employment or elsewhere. You do not need to know a particular order system before applying.

The employer may ask candidates it advances to complete an application on the hiring company’s website. You would be given the necessary link and instructions at that point. Training will cover the stock updates and customer response rules for the opening.
