Customer Service Assistant – Payment Method Guidance
Customer Service / Billing Guidance / Remote / Part-time or full-time
£56,550–£60,450 annual salary at 37.5 full-time hours, part-time pro rata
Customers sometimes know what they owe but are unsure how the company accepts payment. They may need the approved online payment page, a reference to include with a bank transfer or help understanding where to find payment instructions on an existing invoice. This role answers those procedural questions using the employer’s current guidance. You will not take card numbers, process payments, give financial advice or decide whether a charge is correct.
Keep the answer within the approved process
Begin by reading the actual question. A customer asking where to pay is different from one disputing an amount or requesting extra time. For a routine method question, check the current company instructions and provide the relevant link or reference wording. If the customer raises an account-specific problem, use the authorised record and route the issue when it needs billing review. Never direct someone to a payment address found in an old email when the approved online page has changed.
There are simple but important checks. Does the payment link belong to the organisation’s current process? Is the invoice reference the one shown in the customer’s authorised record? Has the customer asked about a method the company does not accept? If the published guidance does not cover the situation, ask the billing owner rather than suggest a personal workaround. The company will train you on which information you may share and where sensitive questions belong.
An example from the inbox
One customer says they cannot find the bank transfer reference. You would look at the approved instructions and the invoice details you are permitted to view, then explain where the reference appears and how it should be entered. Another customer wants to send card details by email because the website is not loading. You would tell them not to send those details through that channel and provide the company’s approved assistance route. If the page itself fails, record the issue for the responsible team; you are not expected to troubleshoot its payment system beyond the instructions supplied to you.
An acknowledgement that a question was answered is not proof that a payment went through. If someone writes later to ask whether the money arrived, check the available status only if your access and guidance permit it. Otherwise send the question to the team that can verify receipt. Avoid saying an account is settled because the customer has been given a method of payment. That distinction protects trust and keeps the customer service history accurate.
Records and privacy
Office administration is part of this job. Keep the enquiry attached to the right invoice or account, note the approved guidance sent and identify the next owner when the matter is referred. Do not copy bank details, payment credentials or card information into a general note. If a message contains sensitive details unexpectedly, follow the employer’s procedure for handling it. A colleague should be able to pick up a case without asking the person to explain the whole question again.
Remote work is mainly written and online. A reliable home office connection helps you compare the latest guidance with the customer’s message, while a private workspace supports careful handling of account information. Previous billing experience is welcome but not required. We are looking for someone who writes clearly, checks the source before sharing a link and knows when a financial decision belongs to another team. The hiring company will explain its payment channels and escalation process during training.
The range above uses full-time hours; part-time pay would be pro rata. Exact hours and any requirements for the client opening will be confirmed by the employer. The role is a practical entry point into customer service with a clear boundary between explaining how a payment can be made and determining what a customer owes.
Apply
Tell us how you would respond if a customer offered to email you their card number. A useful answer should show that you would protect the information and direct them to the approved process. You do not need a finance qualification. Previous payment experience is also unnecessary.
Candidates moving forward may be asked to complete the hiring company’s own application on its website. That step will be explained if you are selected. The hiring team will provide the procedural guidance needed for the opening.
