Customer Service Order Notes Clerk
Customer Service | Packing Instruction Checks | Remote
Full-time or part-time
Pay: 23.25–25.25 per hour
Some customers include special instructions with an online order. If a note is unclear, the packing team needs an answer before acting on it. The Customer Service Order Notes Clerk reads assigned notes, asks approved questions, and records the reply in the correct order. This part-time remote role is customer service through written communication and office administration through precise records. You will not change shipping methods, approve extra services, or promise a request can be accommodated without confirmation.
A note is not always an instruction the team can fulfill
“Leave with neighbour” may not fit a carrier's delivery rules. “No plastic” may affect packaging that has already been prepared. Follow the employer's guidance on what can be confirmed directly and what must go to fulfillment. If the order contains several items, ask which item the instruction applies to when needed. Preserve the customer's wording and the team's final approved direction separately.
You may need to contact a customer before a packing deadline. Use the assigned online channel and the company's contact rules. If no answer arrives in time, flag the order for the owner rather than inventing a solution. A clear status helps fulfillment see whether a question is pending, resolved, or beyond the available options. Do not bury a special instruction in a general customer note that packers do not read.
Possible duties
- Review assigned order notes under a supplied checklist.
- Identify instructions that need a customer or fulfillment clarification.
- Ask a concise question using approved language.
- Record a customer reply with the correct order and item.
- Refer requests outside standard packing options.
- Keep the packing team informed of confirmed instructions.
- Mark unresolved notes as pending, not completed.
Experience in customer service, office administration, or order support helps, but is not required. The company will train newcomers on packing options, order statuses, and escalation. You should be comfortable with email and attentive to the difference between a request and an approved instruction.
The employer will confirm the coverage window and tools.
Questions worth sending to the right owner
- Does the instruction apply to one item or the entire order?
- Is the requested packing method offered by the company?
- Has the order already passed the packing cutoff?
- Does a carrier rule limit the customer's request?
- Is a new customer reply needed before fulfillment can proceed?
- Who will confirm the final handling decision?
The employer may provide a standard list of permitted packing options. Use it, but do not imply that a customer's request is approved until the team has checked the actual order. A note about a gift, fragile item, or separate recipient can affect several steps. Identify what the customer is asking and what the packing team can still change. If a late message arrives after you have already handed off the case, connect it to the same order and alert the current owner. A clean trail is more valuable than a quick reply that leaves packers unsure which instruction is final.
The work can include a check of unresolved packing questions before the team's cutoff. If a customer reply has arrived, alert the owner promptly so the order does not remain paused unnecessarily. A handoff should name the exact requested note and the relevant item, not just say “customer responded.”
An order note may ask for a gift message, a special packing method or an address change that belongs in another workflow. Read the note alongside the order's current stage and the company's approved packing options. If a request cannot be interpreted clearly, ask the customer or route it before the package is prepared. Do not promise that a warehouse can honor a change after its cutoff. Record the confirmed instruction in the proper field so fulfillment does not rely on a vague remark buried in email. The customer service reply should say what is known and what still needs checking.
A suitable home office supports careful reading of order notes and customer contact details.
Applying for this role
A useful application can show that you clarified an ambiguous request before someone acted on it. That example need not involve orders.
You do not have to know the employer's packaging process yet. If your application is selected for another review, the employer may ask you to complete its website application. The fulfillment team will describe its procedures during hiring.
