Whilst Liberty Oil is owned by Viva Energy Australia, one of Australia’s leading energy companies, it remains at its core an independent wholesale subsidiary with the advantage of being able to obtain support from the broader Viva Energy network.

We are seeking an experienced and highly organised Rapid Global Administrator to support a major compliance and records management project. Reporting to the HSSE team, you will play a key role in maintaining employee records, managing document uploads, establishing compliance workflows, and supporting the ongoing administration of the Rapid Global platform.

This role would suit someone with previous Rapid Global administration experience who is comfortable working independently, managing large volumes of data, and ensuring information is accurate and compliant.

Key Responsibilities

  • Create and maintain employee profiles within Rapid Global.
  • Upload, organise and manage employee licences, qualifications, medicals and training records.
  • Configure and maintain document expiry notifications and compliance workflows.
  • Monitor and report on overdue or expiring records.
  • Support onboarding activities by establishing new employee profiles and uploading documentation.
  • Assist with the administration of Rapid Incident, Induct, Auditor and related modules.
  • Generate and distribute compliance and management reports.
  • Maintain system accuracy and data integrity.
  • Provide user support and guidance to managers and administrators.

To be successful in this role, you will have:

Essential

  • Strong understanding of employee records, training compliance and document management processes.
  • Excellent attention to detail and data accuracy.
  • Intermediate to advanced Microsoft Office skills, particularly Excel.
  • Strong organisational and time management skills.
  • Ability to work independently and manage competing priorities.

Desirable

  • Previous experience administering the Rapid Global platform.
  • Experience within transport, logistics, fuel, construction, mining, or safety-focused industries.
  • An understanding of the importance that HSSE plays in safety driven organisations.
  • Knowledge of training compliance, licence management and workforce competency requirements.
  • Experience with incident management, auditing, or contractor management systems.
