Job Title: Data Management Coordinator
Monthly Pay: $3,520 - $5,204 USD per month
Summary:
Working in a desktop database such as Microsoft Access, the coordinator organizes data updates, checks incoming information, and keeps shared tables usable for everyday business activities. This role helps colleagues work from accurate information rather than incomplete entries or conflicting versions. The position sits within the administrative operations team and works under an operations team lead. It collaborates with data owners, administrative colleagues, and reporting staff to clarify requests and coordinate corrections. This fully remote, desk-based position offers work from home in Wisconsin, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary.
Job Responsibilities:
- Review incoming email requests and shared work queues, identifying the requested updates, responsible data owners, and expected completion order before assigning work for review.
- Coordinate routine data entry requests by confirming required fields, source references, approved formats, and missing details with the colleagues submitting each request.
- Maintain tracking sheets in a spreadsheets and data entry tool such as Microsoft Excel, recording request status, assigned owners, dependencies, and outstanding questions.
- Compare submitted values against approved source information, checking names, reference codes, dates, and required fields before arranging updates to shared business tables.
- Organize routine imports and exports using established templates, checking field alignment and row totals without changing database structures or developing automated integrations.
- Coordinate approved changes across related tables, preserving established relationships and confirming that updated values appear consistently where colleagues use them.
- Identify duplicate entries and conflicting values, route uncertain matches to the relevant data owner, and avoid merging entries without confirmation.
- Follow up on unanswered questions and overdue corrections, escalating unresolved discrepancies or competing priorities to the operations team lead with clear supporting notes.
- Check completed work against accuracy, turnaround, complete notes, and follow-up standards, arranging corrections when entries do not meet the agreed requirements.
- Close completed requests, summarize recurring issues for the team lead, and provide reporting colleagues with verified tables and clear explanations of remaining limitations.
Qualifications:
- High school diploma or equivalent.
- About 1-2 years of experience in data entry, data management, or administrative coordination preferred.
- Familiarity with structured tables, field types, unique identifiers, and relationships between tables used in routine database management.
- Ability to use spreadsheet sorting, filters, formulas, and consistent formatting to organize requests and compare submitted information.
- Understanding of routine data processing and template-based data integration, including checking import results and recognizing mismatched fields.
- Clear written communication for requesting clarification, explaining discrepancies, and keeping data owners informed without unnecessary technical language.
- Ability to prioritize multiple requests, maintain clear handoffs, and follow established instructions when information is incomplete or inconsistent.
- A reliable computer, high-speed internet, and quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.
- Authorization to work in the United States.
Perks & Benefits:
