POSITION SUMMARY : The Development Data and Systems Specialist plays a critical role in advancing Wolf Trap Foundation’s fundraising success by ensuring accurate, accessible, and actionable data across the organization. This position oversees all aspects of the Foundation’s Raiser’s Edge NXT CRM and related systems, serving as the primary resource for database management, reporting, and staff training. DUTIES AND RESPONSIBILITIES: Donor Database Management Responsible for the overall administration, integrity, security, maintenance, efficiency, and strategic development of Wolf Trap’s Raiser’s Edge NXT donor database. This includes: Support the Development and other Foundation staff in the effective use of Raiser’s Edge NXT and other related software applications. Maximize the use of Raiser’s Edge NXT and other fundraising software systems, by identifying opportunities for enhancement and implementing improvements that support organizational and department needs. Manage the Foundation’s maintenance and support contract relationship with Blackbaud. Proactively lead ongoing database maintenance, data hygiene, and data integrity efforts, including duplicate management, imports, data appends, record updates, and periodic data audits. Serve as the primary trainer and subject matter expert for Raiser’s Edge NXT. Provide back-up support for key database functions, including gift and data entry, query development, segmentation, and data exports. Identify and implement process improvements to streamline data processing for gift entry, acknowledgements record keeping and reporting. Ensure Raiser’s Edge and Financial Edge data management policies, procedures and best practices are documented and up to date. Reporting & Analytics Build and deliver dashboards, reports, and queries that support fundraising strategy and decision-making. Translate data into actionable insights and recommendations for Development leadership. Technology Identify opportunities and address challenges related to effective database utilization by proposing and implementing new or improved applications and processes, including: Develop, implement, and support automated solutions for repetitive tasks used by Development and other Foundation departments. Assist in keeping Wolf Trap Foundation current with emerging technologies and applications through research of peer orgnaizations, industry trends and best practices. Work directly with software vendors to coordinate technical support, upgrades, modifications, and other system-related needs. Identify opportunities and methods to integrate systems and data across Foundation databases, including ticketing systems, and external data sources to improve efficiency, reporting and data accessibility. Fiscal Management Work closely with the Finance department by providing monthly and annual reconciliation reports Identify business requirements and manage implementation of database and information systems for Development and related departments including Finance, Executive Offices, Ticket Services, Education, Communications & Marketing, and Opera. Produce reports, analyses, and other management information as needed, including supporting Finance with reports required for audits and annual Form 990 reporting. Other Provide support to Foundation operations as needed to ensure the efficient flow of business. Perform other duties and responsibilities as assigned. Qualifications EDUCATION AND EXPERIENCE: BA/BS degree or equivalent transferable experience. 3-6+ years of hands-on experience as a Raiser’s Edge database administer or specialist, including experience with data integration and financial reconciliation in fundraising environments of mid- to large-size nonprofit organizations. REQUIRED KNOWLEDGE, SKILLS AND ABILITIES: Expertise with Raiser’s Edge NXT required; Raiser’s Edge certification required. Familiarity with RE NXT integration with Financial Edge NXT and NetCommunity preferred. Excellent organizational, written, and verbal communication, and customer service skills. Excellent time management skills, with demonstrated ability to prioritize, manage, and meet multiple deadlines simultaneously. Proficiency with computers and relevant software applications, including Microsoft Office programs and constituent relationship management databases required; experience with Microsoft Power Automate, Word, Excel, and other relational databases preferred. Sensitivity and commitment to the mission of Wolf Trap Foundation for the Performing Arts. PHYSICAL DEMANDS : Must be able to remain in a stationary position 75% of the time. Constantly operates a computer and other office equipment (i.e. copier, printer, etc.). Regularly required to stand, walk, stoop, bend and reach with arms. Infrequently lift/move up to 20 pounds.
