Put your clinical expertise to work alongside leading veterinary radiologists and neurologists, coordinating advanced imaging cases and helping us get answers for pets!

Join a growing, highly specialized veterinary diagnostic imaging organization where we get answers for pets! With three, and growing, busy outpatient imaging centers, Sage Veterinary Imaging specializes in advanced cross-sectional imaging, including MRI, CT, and neuroimaging. We're seeking an experienced veterinary professional who thrives in a fast-paced, technology-driven environment and can help our specialists focus on what they do best—delivering expert clinical answers.

Position Description

The Case Manager serves as a critical clinical communication and coordination resource between Sage Veterinary Imaging's veterinarians, radiologists, neurologists, referring veterinarians (rDVMs), and pet owners.

The Case Manager ensures diagnostic imaging and neuro-imaging cases are complete, organized, and ready for specialist review, allowing our experts to focus on clinical interpretation and consultation rather than administrative tasks. The role also manages case progression, facilitates accurate and timely communication, and coordinates follow-through.

Success requires strong veterinary clinical knowledge, independent judgment, exceptional communication, and confidence using technology, including AI-enabled tools.

Key Responsibilities

Case Preparation & Specialist Support

  • Prepare and coordinate MRI, CT, teleradiology, neuro-imaging, and other specialty consultation cases.
  • Review and consolidate medical histories, examination findings, laboratory results, diagnostic images, reports, videos, and supporting records.
  • Identify missing or unclear information and obtain clarification before specialist review.
  • Organize case materials, imaging access, and consultation documentation so specialists can work efficiently.
  • Coordinate specialist assignments, monitor turnaround times, and manage outstanding requests through completion.
  • Anticipate specialist needs, resolve administrative barriers, and minimize avoidable interruptions.

Neuro-Imaging Coordination

  • Manage neuro-imaging consultation workflows following identification and initial interpretation by the SVI radiologist.
  • Prepare complete consultation packages, including relevant neurological findings, diagnostic studies, imaging links, clinical videos, and required templates.
  • Coordinate with consulting neurologists, obtain requested information, and monitor consultation progress.
  • Review completed reports for completeness, clarity, and actionable information, escalating clinical questions or discrepancies to the responsible specialist.
  • Coordinate timely distribution of approved recommendations and follow-up communication with referring veterinarians and the internal clinical team.

Clinical Communication & rDVM Relationships

  • Serve as a trusted communication link between SVI's clinical specialists, operational teams, referring veterinarians, and pet owners.
  • Communicate clinical information precisely and consistently, strictly following DVM-approved guidance without speculation or independent interpretation.
  • Navigate questions confidently, recognizing when specialist clarification or escalation is required.
  • Engage regularly with the Chief Clinical Officer, Chief Medical Officer of Radiology, and other specialists to obtain direction, communicate case updates, and facilitate resolution.
  • Maintain clear internal communication, timely handoffs, and accurate documentation.
  • Build strong referring-veterinarian relationships through responsiveness, professionalism, and reliable follow-through.
  • Manage escalated or clinically complex communications and coordinate appropriate resolution.

Technology & Workflow Improvement

  • Work efficiently across veterinary practice-management systems, electronic medical records, imaging platforms, and digital communication applications.
  • Utilize approved AI-enabled tools and automation to improve case preparation, documentation, and workflow efficiency while maintaining clinical accuracy and confidentiality.
  • Quickly learn new systems, identify process improvements, and help reduce administrative demands on specialists.

What Makes You Successful

  • Strong clinical foundation: You understand veterinary medicine, diagnostic imaging, and complex medical records.
  • Independent and proactive: You anticipate needs, solve problems, and take ownership without requiring constant direction.
  • Exceptional communicator: You are precise, responsive, and comfortable engaging with experienced specialists and executive clinical leadership.
  • Collaborative: You work equally effectively with clinical and operational teams, balancing priorities and maintaining strong professional relationships.
  • Highly organized: You manage multiple time-sensitive cases with accuracy, urgency, and dependable follow-through.
  • Technologically adaptable: You are comfortable navigating multiple applications, AI-enabled tools, and evolving digital workflows.
  • Sound clinical judgment: You understand the boundaries of your role and know when to obtain specialist guidance.

Required Qualifications

  • Veterinary technician (RVT, CVT, LVT), veterinarian (DVM), or veterinary professional with equivalent clinical experience.
  • Minimum of five years of advanced veterinary clinical experience.
  • Strong knowledge of veterinary terminology, diagnostic procedures, medical records, and clinical workflows.
  • Exceptional verbal and written communication skills, including confidence working directly with senior clinical leadership.
  • Demonstrated ability to independently manage complex cases, prioritize competing demands, and collaborate across teams.
  • Strong proficiency with electronic medical records, digital applications, and technology-supported workflows, including the ability to learn AI-enabled tools.
  • Ability to consistently work Monday–Friday, 8:00 AM–5:00 PM Central Time.

Preferred Qualifications

  • Experience as a veterinary neurology technician (Neuro Tech) supporting neurological examinations, advanced imaging, or specialty consultations.
  • Three or more years of experience in specialty, emergency, referral, diagnostic imaging, or teleradiology practice.
  • Experience with diagnostic imaging processes and equipment, particularly MRI, CT, and ultrasound.
  • Familiarity with neurological examinations, lesion localization, and neuro-imaging workflows.
  • Experience coordinating specialty consultations or preparing cases for radiologist or neurologist review.
  • Familiarity with PACS, DICOM, imaging software, and AI-assisted workflow tools.

Clinical Authority & Role Boundaries

The Case Manager coordinates clinical information and communication but does not independently diagnose, interpret imaging, alter clinical findings, or modify treatment recommendations.

All clinical information shared with referring veterinarians or pet owners must be accurate, verified, and consistent with approved guidance. Questions requiring clinical judgment must be directed to the appropriate veterinarian or specialist.

Work Arrangement & Compensation

This is a full-time, remote position, working Monday–Friday, 8:00 AM–5:00 PM Central Time, regardless of the employee's physical location.

The position reports to the COO and requires regular collaboration with clinical leadership, specialists, and operational teams.
