Mission We are looking for a highly organized, technology-driven Digital Operations Manager to oversee and optimize the company's digital operations, business systems, and internal processes. This role will work directly with leadership to improve operational efficiency, manage cross-functional projects, support warehouse management systems, coordinate client onboarding, maintain software platforms, and implement automation and AI-powered solutions that help scale the business. The ideal candidate is a proactive operator—not a passive assistant—who enjoys building systems, enforcing internal accountability, managing priorities, and driving projects from planning through execution. You should be a self-starter who requires minimal training or retraining and can troubleshoot independently using modern resources. This is a hands-on operational role focused on creating scalable processes that support rapid company growth. Key Responsibilities 1. Project & Operations Management Manage multiple cross-functional operational projects from initiation through completion and enforce internal accountability across teams. Coordinate priorities across departments while ensuring deadlines and deliverables are met. Maintain and update project management platforms such as ClickUp, Trello, or similar tools. Monitor operational performance and identify opportunities for process improvements. Develop, maintain, and work with various SOPs and internal documentation. 2. Warehouse & Fulfillment Operations Support and optimize the Warehouse Management System (WMS). Monitor aging orders and shipment status. Coordinate shipment tracking and filing shipping claims when necessary. Assist with inventory management, SKU tracking, data management, and basic math calculations for stock and order precision. Improve warehouse workflows through better systems and automation. 3. Client Onboarding & Business Systems Coordinate onboarding for new clients and ensure smooth system implementation. Maintain business software platforms, user accounts, permissions, and operational workflows. Collaborate on sales support tasks (without leading sales): update CRM, send contracts, assist with customer records, and handle email coordination. Ensure accurate setup and maintenance of operational systems. 4. Process Improvement & Automation Analyze operational data to identify inefficiencies and recommend improvements. Build scalable workflows that reduce manual work. Research, test, and implement automation solutions using AI and modern software tools. Assist in integrating software platforms across the business. Leverage AI tools and resources (such as ChatGPT, YouTube, and automation tools) to troubleshoot independently, improve operational efficiency, and drive productivity. 5. Reporting & Collaboration Prepare operational reports and dashboards for leadership. Track KPIs and provide actionable operational insights. Collaborate closely with leadership on strategic initiatives and special projects. Take ownership of ad hoc operational tasks that support company growth. Qualifications Employment Type: Full Time Years of Experience: 3+ years of experience in Operations Management, Project Management, Business Operations, or similar roles. Must-Have Experience: Strong experience managing multiple projects simultaneously and enforcing team accountability. Software & Tooling: Experience using project management platforms (ClickUp, Trello, Asana, Monday.com, or similar) and CRM systems (HubSpot, Pipedrive, Salesforce, or similar) with the ability to learn new systems quickly. Analytical & Technical: Excellent analytical, problem-solving, data management, and basic math skills for inventory/SKU calculations. Independence: Self-starter mentality with a proven ability to work independently with minimal need for training or retraining. Communication: Excellent written and verbal English communication skills (evaluated via Loom video submission). Specific Gender: No preference Preferred Qualifications Experience working with Warehouse Management Systems (WMS). Experience in eCommerce, fulfillment, logistics, or supply chain operations. Experience with automation platforms such as Make.com, Zapier, or n8n. Experience with multiple CRM platforms. Familiarity with AI tools such as ChatGPT, Claude, Gemini, or similar productivity platforms. Experience integrating multiple software platforms and optimizing operational workflows. Experience creating SOPs and process documentation. Skills & Competencies Highly proactive operator mindset—takes ownership rather than waiting for instructions.
