Description

PromptCare is seeking a Director, Revenue Cycle Operations & Improvement to partner with Revenue Cycle and Operations leadership to lead the order-to-cash transformation agenda and drive measurable improvements in bad debt, cost of collections, denial rates, held A/R, A/R aging, days sales outstanding (DSO), and asset recovery. This role combines hands-on leadership of two direct-report functions with cross-functional collaboration across Intake, Resupply, and Field Operations to strengthen the systems, technology, and processes that support PromptCare’s long-term cash performance. The Director will serve as both a tactical project leader, driving targeted recovery initiatives through completion, and a strategic change agent, building sustainable capabilities and continuous improvement across the revenue cycle.

Reporting to: Vice President of Revenue Cycle Management

Job Type: Full-time

Requirements
  • Bachelor's degree in healthcare administration, business, finance, or a related field; MBA or advanced degree a plus.
  • 8+ years of progressive revenue cycle, healthcare finance, or operations leadership experience, with demonstrated ownership of bad debt, DSO, denial rate, or cost-of-collections outcomes; DME/HME and complex respiratory or enteral experience strongly preferred.
  • Demonstrated success leading transformation or process-improvement initiatives at scale, including direct people leadership and cross-functional influence without direct authority.
  • Hands-on experience with Brightree or a comparable HME/DME billing and order management system, including system configuration and price table governance.
  • Track record building or maturing management systems and metrics disciplines (e.g., A/R aging, write-offs, productivity, cash application) within a revenue cycle or shared-services organization.
  • Strong analytical skills, including experience mining claims, denials, and write-off data to identify root causes and bulk-resolution opportunities.
  • Experience partnering with IT/automation teams on bots, workflow automation, or new technology implementation within a revenue cycle context.

Preferred Skills

  • Experience managing global and/or offshore resourcing models for revenue cycle operations.
  • Familiarity with asset recovery / equipment recovery processes in a home medical equipment environment.
  • Experience contributing to a denials committee or similar cross-functional governance body.
  • Strong change management and stakeholder engagement skills across field operations and corporate functions.
  • Six Sigma, Lean, PMP, or other process-improvement / project management certification a plus.

Job Responsibilities, included but not limited to:

Transformation Leadership & Portfolio Management

  • Own and drive measurable improvement in bad debt, cash-to-gross revenue, denial rate, held A/R, A/R aging, DSO, write-offs, revenue integrity, cost of collections, and asset recovery/capex efficiency, setting targets and tracking progress in partnership with Revenue Cycle leadership.
  • Build and sequence a portfolio of order-to-cash transformation initiatives, balancing quick-hit tactical recovery projects with durable, systemic process and technology change.

Brightree System Configuration & Revenue Integrity (Direct Report)

  • Directly lead the Brightree System Configuration function, ensuring price tables, payer configuration, and system rules are accurate, current, and aligned to contract and coding requirements.
  • Partner with the Managed Care policy team to ensure payer policy, contract, and reimbursement updates are translated into Brightree system configuration and price tables promptly and accurately.
  • Ensure payer policy, reimbursement, and regulatory updates are communicated to affected revenue cycle stakeholders and reflected in current documentation, workflows, and reference materials.
  • Partner with the configuration team to proactively identify and correct system-driven root causes of revenue leakage and denials.

RCM Projects & Tactical Recovery (Direct Report)

  • Directly lead the RCM Projects team, through the Manager, RCM Projects and domestic/global resources, executing worklist-driven cleanup initiatives across stops, held claims, denials management, billing, cash posting, and payer changes.
  • Scope, prioritize, and drive bulk-resolution recovery projects (e.g., rental stop management cleanup, bulk CMN and PAR recovery), translating denial and write-off analysis into targeted initiatives.

Denials Root Cause & Bulk Resolution

  • Serve as a standing member of the Denials Committee, partnering with A/R leadership and the Brightree team, who lead day-to-day denials management; mine denials and write-offs to identify root causes and remediate them through system configuration, process redesign, and training/education.
  • Identify and lead bulk denial-resolution projects, distinct from the day-to-day denial work and one-off appeals handled by the A/R teams.
  • Partner with A/R leadership to improve denials management workflow and claim prioritization based on propensity-to-pay.

Ops-RCM Collaboration & Cross-Functional Partnership

  • Shape and lead the Ops-RCM collaboration model, establishing effective structures and cadences for dialogue and partnership between Field Operations, Intake, Resupply, and Revenue Cycle.
  • Partner with Revenue Cycle, Intake, Resupply, and Field Operations leadership to drive process improvements across the order-to-cash lifecycle.

Technology, Automation & Data Partnership

  • Partner with RCM leadership and IT on the effectiveness of technology programs, including bots and automation.
  • Evaluate, pilot, and help implement new technologies and tools that improve revenue cycle performance.
  • Partner with Brightree Data Services on related initiatives.

Management Systems, Metrics & Manager Development

  • Build and strengthen management systems and metrics across RCM functions; coach RCM managers on strong business-review discipline covering A/R aging, write-offs, backlog/inventory of work, productivity, unposted adjustments, paid-not-posted cash, and unfunded remits.
  • Establish consistent reporting cadences and standards that give leadership early visibility into emerging issues.

Process Assessment & Capability Incubation

  • Assess the maturity of critical revenue cycle processes, including cash posting, credit balances, lockbox correspondence routing and review, audit and appeals, and others such as rental stop management, and partner with functional leaders to strengthen existing processes or stand up new ones.
  • Incubate new capabilities that have historically been underdeveloped in the business (e.g., Asset Recovery), building them to a mature, sustainable state before transitioning ownership to the appropriate functional leader.
