About the role:


The Mortgage Servicing Team manages the administration of business practices to create the highest level of efficiency possible within the organization. The group is concerned with delivering the products and services as efficiently as possible to maximize profit. The team oversees people, equipment, technology, information and all other required resources in the delivery products and services. It is also responsible for driving operational excellence and supporting key business objectives while fostering a culture of respect, trust and integrity.

Perform various duties relating to the discharge of the mortgage. The Discharge group is responsible for administrative-related tasks and responsibilities for discharging or transferring mortgages and equity line visa accounts. The Administrator will liaise with solicitors, external clients and internal departments to provide exceptional service and support. Perform tasks that are predominately routine in nature but must be performed with a high degree of accuracy to avoid negative impact on the Company. This position is a temporary 12-month contract.

Key Responsibilities:


Administration/Discharge Req (70%)

  • Preparation of Mortgage and Equity Line Visa discharge statements
  • Effectively manage daily workloads by prioritizing based on closing dates
  • Verify applicable penalties (i.e., sale of property, interest to maturity etc.)
  • Responsible for account maintenance (i.e., removal of PAC, Collector/Discharge ID etc.)
  • Process Discharge payments (Balancing/Posting/Clearing accounts)


Risk & Compliance (15%)

  • Act in accordance with Home Trust’s core values, Code of Conduct and all internal policies
  • Understand regulatory & compliance requirements applicable to one’s scope of responsibility
  • Incorporate regulatory & compliance requirements into existing business processes
  • Increase knowledge & understanding of regulations, laws and compliance


General Duties (15%)

  • Maintain Shortfall list, collecting on outstanding amounts owed for discharge
  • Index discharge requests in CRM Dynamics
  • Action daily expired statements linked to matured mortgages
  • Specialized tasks may be assigned to each Administrator (i.e., preparation of cheques etc.)
  • Prepare and send applicable correspondences (i.e., closed, NSF and expiry letters)
  • Answer client & solicitor inquiries via email inbox

  • Post-secondary degree or diploma required

  • 2-3 years related office administration and service-oriented role

  • Expected base salary is $45,000 to $55,000.
