Job Title: Dispatch Representative
Monthly Pay: $4,279 - $5,985 USD per month
Summary:
Phone calls and emails are the main ways this dispatch role connects with drivers, carriers, and customers about shipment progress. The Dispatch Representative communicates delivery updates, checks shipment status, and keeps accurate notes so the operations team can respond to changes. This entry level position sits within the logistics operations team and works under an operations team lead. It works closely with dispatch coordinators and customer service colleagues to share consistent information and route questions to the right person. This fully remote position offers desk-based work from home in Wisconsin, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary.
Job Responsibilities:
- Review incoming dispatch calls, emails, and assigned queue items to identify shipment questions, delivery updates, and requests needing a response.
- Check shipment references, carrier details, delivery locations, and current delivery schedules before communicating information or updating an existing shipment entry.
- Look up shipment milestones using a transportation management system such as Oracle Transportation Management, noting the latest available status and source.
- Contact carriers and drivers for shipment status checks, arrival estimates, and explanations of delays when existing information is missing or unclear.
- Answer dispatch calls through a contact-center phone system such as Genesys, confirming the caller’s question and providing verified information in plain language.
- Record contact details, status changes, promised updates, and next actions in the shipment entry so colleagues can understand what happened.
- Share confirmed carrier and driver updates with customers and the operations team, distinguishing estimated arrival times from confirmed delivery information.
- Follow up on unanswered status requests and approaching delivery milestones according to team procedures, keeping outstanding questions visible for the next shift.
- Escalate missed delivery windows, conflicting shipment information, and requests beyond assigned authority to the operations team lead, including relevant notes and contacts.
- Close completed inquiries after confirming the outcome; quality is judged by accuracy, turnaround, complete notes, and dependable follow-up on outstanding items.
Qualifications:
- High school diploma or equivalent.
- No experience required; related experience in dispatch, transportation support, or customer contact is preferred.
- Basic understanding of shipment milestones, carrier communication, delivery schedules, and the importance of verifying updates before sharing them.
- Willingness to learn transportation management systems and follow established steps for checking shipment information and recording conversations.
- Clear telephone communication and concise email writing, including the ability to explain delays without making unsupported promises.
- Ability to compare shipment details, recognize conflicting information, and ask focused questions when an update is incomplete.
- Ability to manage several open inquiries while maintaining accurate notes and handing unfinished items to colleagues clearly.
- A reliable computer, high-speed internet, and quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.
- Authorization to work in the United States.
Perks & Benefits:
- Fully remote, desk-based work from home supporting shipment communication without driving or warehouse duties.
