Position Summary The Division Order Analyst independently manages division order work across a portfolio of client accounts, maintaining accurate ownership records and supporting timely, accurate payment to interest owners. This fully proficient role interprets title opinions and ownership instruments, processes transfers and ownership changes, owns division of interest (DOI) setup for new wells and acquisitions, and resolves moderately complex title, suspense, and payment matters from document review through validated system setup. The successful candidate will work across multiple clients and systems, serve as a day-to-day contact for assigned client stakeholders, and act as a technical resource for Division Order Technicians. This position offers variety across basins, clients, and platforms, along with a career path toward Senior Division Order Analyst. A 3/2 hybrid schedule is available. Key Responsibilities Ownership & Title Analysis Independently review and interpret division order title opinions, leases, conveyances, assignments, probate and trust documents, pooling or unit documents, and related instruments. Analyze and determine ownership interests and division of interest. Prepare and coordinate title curative requirements as needed. Research discrepancies among title, land, revenue, and source documentation; document conclusions and recommend appropriate action. Transfers & Ownership Changes Review transfer documents and determine the appropriate distribution allocation. Process and resolve ownership transfers, successions, entity changes, and pay status changes with limited oversight. Receive and resolve complex ownership, title, and payment matters escalated by Division Order Technicians. Meet established response-time and processing-window standards for owner inquiries, transfers, and related owner-facing work. Division Order Setup & Portfolio Management Own master property setup, estimated DOI, and final DOI for new wells, acquisitions, divestitures, and ongoing ownership maintenance within assigned client portfolios. Track new well completions and initiate DOI processes. Analyze suspense and exception reports, prioritize aging or higher-risk items, and coordinate curative or follow-up actions to support timely payment. Perform validation and quality checks on system changes, ownership calculations, division orders, and supporting documentation. Support data conversions, acquisitions, audits, owner outreach, escheatment, and other client projects requiring experienced division order judgment. Client & Team Collaboration Serve as a dependable day-to-day contact for assigned client stakeholders and communicate status, risks, dependencies, and recommended solutions. Coordinate with land, revenue, JIB, accounting, regulatory, and owner relations teams to resolve cross-functional ownership issues. Provide technical guidance and informal peer review to Division Order Technicians, without formal supervisory responsibility. Respond to internal and external inquiries with professionalism and efficiency. Compliance, Documentation & Process Improvement Ensure adherence to internal controls, client-specific procedures, and applicable legal and regulatory requirements, including state royalty payment statutes. Accurately document ownership changes, conclusions, and client communications so all work is supported by a complete audit trail. Record time accurately and consistently against established work-category standards. Identify recurring errors or inefficiencies and help update procedures, controls, templates, and training materials. Assist with special projects and additional responsibilities as assigned by management. Qualifications Required High school diploma or equivalent. Minimum four years of progressive oil and gas Division Order or closely related land administration experience. Hands-on experience with ownership calculations, title interpretation, new well or property setup, transfers, suspense resolution, and owner or client inquiries. Ability to interpret leases, division order title opinions, conveyances, assignments, probate documents, affidavits, trusts, and related ownership instruments. Strong mathematical aptitude, decimal accuracy, analytical reasoning, and research skills. Intermediate to advanced Excel skills, including reconciliation, data validation, filtering, lookups, and large-data review. Ability to balance multiple client portfolios and deadlines while maintaining accuracy and service quality. Clear written and verbal communication, including the ability to explain technical ownership issues in plain business language and propose practical next steps. Ability to work effectively both independently and as part of a team. Preferred Associate or bachelor's degree in Energy Management, Petroleum Land Management, Business, Accounting, Finance, Legal Studies, or a related field. CDOA, CPLTA, CPL, or comparable land or energy credential. Experience with Quorum, PakEnergy, BOLO, Enertia, W Energy, or comparable land, ownership, or accounting platforms, and the ability to learn new client systems quickly. Experience supporting acquisitions, divestitures, system conversions, data cleanup, or multi-client work. Working knowledge of state royalty payment statutes (e.g., Texas, Oklahoma, New Mexico). Active participation in NADOA, NALTA, AAPL, or a local professional association. Additional Notes This job description outlines the core responsibilities of the role but is not exhaustive.
