E-commerce Executive Assistant Who Gets Things Done

We’re hiring a full-time EA to work directly with the founder across e-commerce operations, inventory, suppliers, actors, and admin.

What You’ll Be Doing - Learn the Business and Build Your Skills

• Inventory & Suppliers: Update inventory sheets weekly, flag when stock needs reordering, follow up on restock dates, and check supplier invoices.
• Fulfilment & Amazon: Process orders daily, follow up on unfulfilled orders, coordinate customer updates, prepare packing lists, and create Amazon shipping labels.
• Actors & Creators: Find actors who match our briefs, present shortlists, hire selected talent, and manage communication and deadlines.
• Daily Outreach: Respond to people on Backstage and coordinate Amazon review outreach—around 30 minutes a day.
• Research & Admin: Gather information for accountants, research purchases, arrange bookings, and handle new requests.
• Payments & Follow-ups: Process staff payments and keep outstanding tasks moving.

We’re a small, fast-moving team. You’ll work directly with the founder, learn across different parts of the business, and take on more responsibility as you develop. We use SOPs, AI, and automation to work efficiently.

What We’re Looking For

• Relevant Experience: 2+ years in EA, VA, or operations work, ideally supporting a founder. You can explain what you personally owned and completed.
• Technical & Good With Numbers: Confident with Google Sheets, calculations, and checking data. Inventory planning experience is a plus.
• Ownership & Organisation: You track tasks, follow up, and finish work without needing reminders.
• Hungry & Quick to Learn: You want to develop your skills and can figure out unfamiliar tasks using SOPs, research, and AI.
• Clear Communication: Strong English. You get to the point, ask useful questions, and keep us updated.

Shopify, Amazon, fulfilment, and supplier experience are helpful. You don’t need to know every platform.
