How can you make an impact?
This position is the operational backbone of the Clinical publishing program. The role owns the day-to-day execution of author and contributor management, permissions tracking, contract administration, project coordination, and cross-functional communication across multiple publishing initiatives.
Serving as a hands-on practitioner in publishing operations, this individual translates strategic priorities into operational execution, maintaining visibility across project lifecycles from acquisition through production, and ensuring that all publishing initiatives meet quality, timeline, and compliance standards. The Editorial Administrator is expected to develop and maintain the operational infrastructure—systems, trackers, documentation, and reporting views—that provide the program with clarity on project status, resource allocation, and risk management.
This is a remote position open to applicants authorized to work for any employer within the United States.
What you will be doing:
Editorial Project Coordination
- Maintain comprehensive project schedules across active titles and digital initiatives, tracking manuscript, review, revision, and production milestones
- Monitor project risks and escalate schedule concerns proactively, ensuring stakeholders have visibility into dependencies and potential delays
- Coordinate with Content Licensing Specialists and production teams on manuscript status updates and permissions requests
- Develop and maintain project documentation, ensuring consistent record-keeping across all initiatives
Author & Contributor Management
- Manage contributor records, contact databases, and onboarding processes, ensuring accurate documentation of agreements and deliverables
- Coordinate author and contributor onboarding, including agreement execution, honoraria tracking, and delivery milestone management
- Track contributor deliverables, manuscript revisions, and submission status, serving as primary point of contact for content contributors
- Maintain contributor agreements, honoraria records, and related compliance documentation with appropriate archival protocols
Publishing Operations Support
- Maintain project records, metadata, and publishing system accuracy, ensuring data integrity across all operational systems
- Support manuscript submission and workflow management processes, coordinating handoffs between editorial, production, and digital teams
- Coordinate comprehensive asset collection including figures, tables, videos, supplementary materials, and ancillary content, ensuring completeness prior to production
- Serve as gatekeeper for production readiness, ensuring all required documentation and assets are complete and accurate before handoff to production teams
Product & Innovation Support
- Coordinate meetings and follow-ups related to strategic initiatives, pilots, and new product development, maintaining meeting documentation and decision records
- Help develop and maintain project trackers for AI-centered initiatives, digital product development, and platform modernization efforts
- Assist with competitive research and market intelligence gathering to support product strategy and positioning
- Take an active role in implementing new AI-centered workflows and processes—both internally and for author-facing systems—documenting processes and training stakeholders
- Maintain documentation repositories for new product initiatives, ensuring decisions, requirements, and learnings are captured and accessible
Reporting & Administration
- Maintain the publishing plan tracker and generate regular status reports for leadership, providing clear visibility into program progress, risks, and resource needs
- Generate usage reports, sales data analyses, and other ad hoc reporting as required
- Organize and maintain documentation repositories, ensuring records retention compliance and accessibility for future reference
- Develop and maintain operational dashboards and views that provide real-time visibility into project status, bottlenecks, and workload distribution
We’re looking for someone with:
- Bachelor's degree
- 3+ years of professional experience in publishing operations, editorial project management, academic publishing, medical publishing, or related fields
- Demonstrated proficiency with Microsoft 365 (Word, Excel, PowerPoint), project management platforms, and collaboration tools
- Strong organizational and project management skills, with the ability to manage multiple concurrent projects with competing deadlines and shifting priorities
- Exceptional attention to detail and commitment to data accuracy and completeness
- Excellent written and verbal communication skills, with the ability to synthesize complex information for diverse stakeholders
- Self-directed approach to problem-solving; comfort with ambiguity and ability to take initiative on operational improvements without explicit direction
- Demonstrated experience building and maintaining tracking systems, dashboards, or reporting infrastructure
Preferred
- Experience in medical, scientific, educational, or professional publishing
- Experience working directly with authors, contributors, and editorial boards
- Exposure to digital product development, AI initiatives, or educational technology
- Knowledge of manuscript management systems (e.g., ScholarOne, eJournalPress) and publishing workflows
- Familiarity with permissions and licensing workflows in publishing
- Experience with data analysis and visualization tools (Tableau, Power BI, or similar)
