Job Summary
The Enrollment Operations Coordinator provides operational and administrative support for enrollment management, including enterprise systems administration, student data workflows, and scheduling for prospective student interviews and events. Reporting to the Director of Enrollment Operations, Analytics and Innovation, this role supports application processing, data quality management, and communications, performs routine system maintenance, and coordinates operational logistics for admissions scheduling, interviews, and events.
Primary Responsibilities
Systems & User Support
• Serve as first-level support for enrollment systems support tickets, service requests, and routine user questions.
• Troubleshoot basic system and process issues using established procedures and escalate complex issues to the appropriate system owner or subject matter expert.
• Support user account setup, access changes, and permission requests in accordance with established procedures.
• Assist users with navigating enrollment systems, processes, and available resources.
Data & System Administration
• Perform routine data updates, corrections, imports, and system maintenance under guidance.
• Support ongoing data quality efforts by identifying incomplete, inconsistent, or inaccurate records.
• Monitor scheduled integrations, automated workflows, communications, and other system processes and report failures or unexpected behavior.
• Complete recurring system administration tasks according to established schedules and procedures.
Admissions & Enrollment Operations
• Coordinate back-end logistics for admissions events, campus visits, applicant interviews, and other enrollment activities.
• Support event setup, scheduling, registration management, participant communications, and post-event data processing.
• Assist with recurring admissions and enrollment operational processes during high-volume periods.
• Coordinate with Admissions and other enrollment teams to ensure operational tasks are completed accurately and on schedule.
Documentation & Process Support
• Follow established standard operating procedures (SOPs) for routine operational activities.
• Assist with creating, reviewing, and maintaining process documentation, knowledge articles, and training resources.
• Identify outdated documentation, recurring issues, or opportunities to clarify existing processes.
• Support implementation and testing of process or system changes as assigned.
Reporting & Coordination
• Prepare basic operational reports and support the development and maintenance of dashboards and data visualizations used to monitor enrollment operations and performance.
• Maintain task logs and other operational tracking tools.
• Communicate clearly with stakeholders regarding requests, issues, timelines, and next steps.
• Route requests to the appropriate team member or functional owner when additional expertise or decision-making is required.
Minimum Qualifications
• Bachelor's degree or equivalent combination of education and relevant professional experience.
• Strong organizational skills and attention to detail.
• Demonstrated ability to learn new technology, systems, and processes.
• Strong written and verbal communication skills.
• Ability to follow established procedures while recognizing when an issue should be escalated.
• Ability to manage multiple tasks and priorities in a deadline-driven environment.
• Proficiency with common workplace technology, including Microsoft Office or comparable productivity tools.
• Customer service and problem-solving orientation.
• Ability to translate user questions into clearly defined operational or system requests.
• High degree of accuracy when working with records and data.
• Ability to maintain confidentiality and appropriately handle sensitive student information.
• Ability to work collaboratively across functional teams.
• Curiosity and willingness to learn how systems and business processes work together.
• Ability to recognize patterns, recurring issues, and opportunities for operational improvement.
Preferred Qualifications
• Experience in higher education, admissions, enrollment management, student services, or related environment.
• Experience working with CRM, student information, event management, ticketing, or workflow automation systems.
• Experience working with data entry, reporting, or data quality processes.
• Familiarity with process documentation, SOPs, or knowledge management.
• Interest in developing skills in business analysis, systems administration, automation, data analysis, or process improvement.
