About the Opportunity
Reporting to the Director of Enterprise Systems (and supported by the CTO in the Director's absence), the Enterprise Systems Manager is a hands-on, delivery-focused role at the centre of Prescient's enterprise technology function.
Prescient's systems landscape is in a period of real and exciting change. We have recently implemented a new PSA platform, are actively developing our Salesforce capabilities, and are building the integrations and data foundations that will underpin how we operate as a business for years to come. The Enterprise Systems Manager will play a central role in shaping and delivering that agenda.
This is a role for someone who gets things done and thinks about what should be done next. You will own the day-to-day administration and health of our core systems, including Salesforce, CMap, BambooHR, Sage Intacct and Concur, while actively driving improvements, identifying where AI and automation can reduce friction, managing change and training, and helping the business get more from its technology investment.
As the Director's focus evolves towards product strategy and roadmap ownership, the Manager will take on increasing operational accountability, making this an excellent opportunity for someone with ambition, initiative and a genuine interest in how systems and processes can make a business better.
We would welcome someone based near our London or Manchester office but we don't want to limit access to top talent so we are open to remote working for the right person.
Responsibilities
System Administration and Day-to-Day Operations
- Administer and maintain Prescient's core enterprise platforms on a day-to-day basis, including Salesforce, CMap (PSA), BambooHR, Sage Intacct, Concur and Boomi integration flows.
- Manage user access, permissions, configuration changes and system health across in-scope platforms, ensuring stable and well-controlled operation.
- Maintain accurate, up-to-date documentation of system configuration, integrations, business rules and standard operating procedures.
- Act as first point of escalation for system queries and issues from across the business, triaging and resolving or routing to the appropriate vendor or specialist.
Programme and Project Coordination
- Coordinate active workstreams across the enterprise systems programme, maintaining task lists, tracking progress and flagging risks or blockers to the Director.
- Manage the programme plan and action log, ensuring owners are held to account and milestones are tracked accurately.
- Prepare status updates, programme materials and briefing notes for steering committees and senior stakeholders.
- Support the planning and execution of system implementations, configuration changes and releases, from requirements through to testing, training and go-live.
- Coordinate UAT activity: building test scenarios, preparing test environments and data, facilitating sessions and logging and chasing the resolution of defects.
Data Management and Quality
- Build and maintain standard reports, dashboards and data extracts to support operational and management needs.
- Investigate data and process issues, identifying root causes and implementing sustainable fixes.
Continuous Improvement and Efficiency
- Build and manage a live backlog of system and process improvement opportunities, working with stakeholders across the business to identify where technology can do more.
- Lead the delivery of improvement initiatives end-to-end, from problem definition and solution design through to build, testing and embedding.
- Challenge existing processes where they create friction, duplication or manual effort, and design better alternatives.
- Identify and eliminate sources of manual effort and rework across system-supported processes, designing configurations that scale without constant intervention.
- Ensure every system change lands properly: not just deployed, but adopted, understood and used correctly by the people it affects.
Change Management and Training
- Own the change management approach for system changes and improvements, ensuring impacted teams understand what is changing, why, and what it means for them.
- Design and deliver training for new and changed functionality, building materials that are clear, practical and tailored to the audience.
- Develop and maintain a library of user guides, process documentation and quick reference materials, keeping them current as systems evolve.
- Build a network of system champions across the business who support adoption and provide first-line guidance to their teams.
AI and Automation
- Actively explore how AI and automation tools can be applied within Prescient's systems landscape to reduce manual effort, improve data quality and accelerate delivery.
- Pilot and evaluate new capabilities within existing platforms, including AI features being released by vendors such as Salesforce, CMap and BambooHR.
- Bring forward practical, well-scoped proposals for how AI and automation can solve real business problems, rather than technology for its own sake.
- Stay current with developments in enterprise systems and AI tooling, bringing relevant insights back to the team.
Stakeholder, Business and Vendor Engagement
- Act as the primary day-to-day point of contact for system queries, requests and improvement ideas from across the business, ensuring stakeholders feel heard and informed.
- Organise and facilitate regular system champions meetings, bringing together key users from across practices to share updates, gather feedback and discuss improvement priorities.
- Translate business requirements into clear, well-scoped functional specifications and configuration designs for review by the Director.
- Maintain a clear, transparent prioritisation backlog, managing expectations honestly and ensuring the business understands what is being worked on, what is planned and what is not in scope. Challenge appropriately.
- Push back confidently and constructively when requests cannot be delivered within available capacity, are not the right solution, or would create technical debt, offering alternatives where possible. Escalating where appropriate.
- Communicate clearly about timelines, dependencies and trade-offs, avoiding over-commitment and building credibility through realistic planning and delivery.
- Manage day-to-day operations with software vendors and implementation partners, raising and tracking support cases and ensuring issues are resolved within agreed service levels.
- Provide input into vendor reviews, licence management and contract renewals.
Cover for the Director of Enterprise Systems
- Hold operational responsibility for the enterprise systems function during periods when the Director is unavailable, with escalation support from the CTO.
- Maintain sufficient working knowledge of the full systems landscape, active programmes and open issues to represent the function confidently to internal stakeholders.
- Make day-to-day operational decisions within agreed parameters, escalating to the CTO only where strategic direction is required.
About You
Essential
- Minimum 5 years experience in a systems administration, business systems, or operations coordination role. You will be comfortable owning platforms and managing data day to day.
- Hands-on experience with at least one major enterprise platform (e.g. Salesforce, a PSA tool such as CMap or Kantata, an HRIS such as BambooHR or Workday, or a finance system such as Sage Intacct or NetSuite).
- Strong organisational skills and a proven ability to manage multiple priorities, track tasks across complex workstreams and deliver to deadlines.
- A proactive, action-oriented approach: you identify what needs doing and do it, rather than waiting to be told.
- Clear, confident communication skills, with the ability to engage business stakeholders and explain system or process topics in plain language.
- Comfortable working in a fast-paced, changing environment where priorities can shift and pragmatic decisions are needed.
- High attention to detail, particularly when managing data, configurations or programme documentation.
Desirable
- Experience supporting a system implementation, migration or integration project in a coordination or analyst role.
- Familiarity with integration platforms or middleware (e.g. Boomi, MuleSoft, Workato) at a working level.
- Experience with reporting and dashboard tools (e.g. Power BI, Salesforce reports).
- Knowledge of the pharmaceutical services, life sciences or professional services industry.
- Relevant qualifications or platform certifications (e.g. Salesforce Administrator, ITIL Foundation) are a plus but not required.
