Position Summary
The Epic Gallery Project Manager will lead the planning, coordination, and execution of Epic Gallery implementations and document management transformation initiatives within healthcare organizations. This role will partner closely with Epic, HIM, IT, clinical, ambulatory, and operational teams to ensure Gallery is configured, integrated, tested, and operationally ready across the enterprise.

The Project Manager will oversee the transition from legacy document management platforms, such as OnBase, to Epic Gallery and will coordinate the critical operational decisions surrounding document types, indexing, fax workflows, workqueues, scanning, ambulatory exceptions, document migration, testing, training, and go-live.

Key Responsibilities

  • Lead end-to-end Epic Gallery implementation projects, including planning, execution, testing, deployment, and go-live.
  • Develop and maintain detailed project plans, milestones, dependencies, risks, issues, and resource requirements.
  • Serve as the primary project liaison between the health system, Epic, HIM, IT, clinical, and operational stakeholders.
  • Coordinate Gallery workflow design, including:
  • Document types and indexing
  • Scanning and indexing workflows
  • Fax queues and routing
  • Workqueues and exception management
  • Ambulatory and specialty-specific workflows
  • Document filing and reconciliation
  • Legacy document migration
  • Facilitate future-state workflow design and identify operational gaps between existing document management processes and Epic Gallery.
  • Coordinate technical and operational dependencies with Epic application teams, including HIM, Clinical Applications, Ambulatory, and other impacted teams.
  • Lead requirements gathering, workflow validation, design sessions, issue resolution, and decision tracking.
  • Coordinate testing strategy and execution, including unit, integrated, workflow, and end-user testing.
  • Ensure document types, indexing rules, routing, queues, and downstream workflows are validated before go-live.
  • Manage legacy document migration activities, including scope definition, data/document assessment, mapping, validation, reconciliation, and cutover planning.
  • Partner with HIM leadership to address scanning, indexing, document quality, incomplete indexing, duplicate documents, and operational workflows.
  • Identify project risks and develop mitigation strategies related to document conversion, workflow changes, integrations, staffing, and go-live readiness.
  • Coordinate training, communications, readiness assessments, and operational transition activities.
  • Lead status meetings, steering committee updates, issue escalation, and executive reporting.
  • Manage project scope, timelines, deliverables, resources, and vendor/partner dependencies.
  • Develop go-live, cutover, stabilization, and post-production support plans.
  • Coordinate post-go-live issue management and optimization activities.

Required Qualifications

  • 5+ years of healthcare IT project management experience.
  • Experience managing Epic implementation or optimization projects.
  • Direct experience with Epic Gallery implementations.
  • Experience replacing OnBase or another legacy document management platform with Epic Gallery.
  • Experience working within an HIM, document management, clinical documentation, or scanning/indexing environment.
  • Strong understanding of healthcare document workflows, including scanning, indexing, faxing, document routing, and electronic medical records.
  • Experience coordinating multiple technical and operational teams in a complex health-system environment.
  • Demonstrated experience managing project schedules, risks, issues, dependencies, and executive communications.
  • Strong understanding of healthcare implementation methodologies and go-live processes.
  • Excellent communication, facilitation, organizational, and stakeholder-management skills.

Preferred Qualifications

  • Epic certification or experience working directly with Epic application teams.
  • HIM, RHIA, RHIT, PMP, or comparable healthcare/project management credentials.
  • Experience with Epic document management, scanning/indexing, fax workflows, or related HIM functionality.
  • Experience with enterprise document migration and data/document conversion.
  • Previous experience leading large health-system Epic implementations or optimization initiatives.
