Job Description This is a remote position. Location: Philippines, remote Working arrangement: Full-time or part-time, depending on workload and tender volume Working hours: Australian business-hours overlap required; exact schedule to be confirmed Reporting to: Project Manager, Estimating Manager, Operations Manager, or Company Director About the role We are seeking a highly organised and detail-oriented Estimator / Project Coordinator to support the preparation of project estimates, quotations, tender submissions, and related project documentation. The successful candidate does not need to have previous experience in building automation. However, they should have approximately one to two years of relevant experience in construction estimating, quantity surveying, engineering administration, electrical contracting, building services, project coordination, procurement support, tender administration, or another technically related environment. The successful candidate will be trained in the company’s specific products, systems, estimating process, documentation standards, and project workflows. The role will work closely with the Australian technical and project teams, who will retain responsibility for final technical decisions, pricing approval, scope validation, and tender sign-off. About the business The company delivers building-automation and energy-management solutions for commercial buildings, warehouses, and facilities. Its work may involve lighting control, energy-management systems, electrical and building-services coordination, project documentation, supplier engagement, and tender submissions. Requirements Key responsibilities The Estimator / Project Coordinator will assist with the following activities: Area Responsibilities Tender review Review incoming tender invitations, project briefs, drawings, specifications, schedules, and scope documents to identify key requirements, deadlines, exclusions, and missing information. Estimate preparation Assist with preparing material, labour, subcontractor, equipment, and other cost inputs using approved templates and guidance from the technical team. Quantity and scope support Assist with reviewing drawings, schedules, equipment lists, lighting-control requirements, and written specifications to help identify quantities and inclusions. Supplier coordination Request supplier and subcontractor quotations, prepare comparison tables, follow up outstanding responses, and maintain records of received pricing. Tender documentation Prepare draft tender responses, quotation schedules, scope summaries, inclusions, exclusions, assumptions, and submission checklists. Data management Maintain accurate estimating spreadsheets, price lists, supplier records, tender registers, and project databases. Version control Ensure the latest drawings, specifications, price lists, quotations, and tender documents are used and stored correctly. Project handover Organise approved tender information and assist with handing over successful projects to the project-delivery team. Follow-up Track tender deadlines, clarification requests, outstanding supplier information, internal approvals, and client submission requirements. Reporting Provide regular updates on tender status, upcoming deadlines, missing information, supplier responses, and completed submissions. What the role will not be responsible for This is a support and coordination position. The successful candidate will not be expected to independently approve technical designs, certify engineering calculations, program building-automation systems, perform commissioning, conduct site inspections, approve final pricing, or sign off contractual commitments. These responsibilities will remain with the authorised Australian technical and management team. Essential requirements The successful candidate should have: • Approximately one to two years of experience in a relevant or similar role , such as estimating assistant, tender administrator, quantity-surveying assistant, construction administrator, project coordinator, procurement assistant, engineering administrator, or electrical/building-services support. • Practical experience preparing spreadsheets, quotations, cost comparisons, tender documents, or project-administration records. • Strong attention to detail and the ability to identify missing, inconsistent, or outdated information. • Strong written and spoken English, with the ability to communicate professionally with suppliers, subcontractors, clients, and internal team members. • Good working knowledge of Microsoft Excel, Word, Outlook, Google Workspace, or comparable office systems. • The ability to manage deadlines, multiple tenders, follow-ups, and changing priorities. • A reliable internet connection, suitable home-office setup, and the ability to work during agreed Australian business-hour overlap. • A willingness to learn technical products, building-automation concepts, lighting-control systems, energy-management terminology, and the company’s internal procedures. Desirable experience This is a mid-level support role , not a senior estimator or independent project manager position. The successful candidate should be able to complete routine estimating and tender-support tasks with guidance, while escalating technical, commercial, or scope-related questions to the Australian team. The following experience would be advantageous but is not mandatory: • Construction, electrical, mechanical, engineering, architecture, facilities, or building-services experience. • Experience supporting Australian construction or engineering businesses. • Experience with tendering, quantity takeoffs, estimating, procurement, supplier pricing, purchase orders, variations, or subcontractor coordination. • Experience reading construction drawings, equipment schedules, lighting layouts, specifications, or scope documents. • Familiarity with construction or project-management platforms, cloud document systems, CRM platforms, or estimating software. • Exposure to lighting control, building-management systems, energy-management systems, electrical controls, KNX, DALI, Dynalite, zencontrol, Optergy, NICE, or similar technologies. • Experience working with Australian Eastern Time or other international clients. Candidate profile We are open to candidates who have worked in a similar support role and are capable of learning a new technical industry. The ideal person may come from a construction-estimating, quantity-surveying, engineering-administration, electrical-project, procurement, or tender-coordination background. The candidate should be comfortable asking questions, following documented processes, checking details carefully, and escalating technical or commercial issues rather than making unsupported assumptions. Accuracy, reliability, organisation, and follow-through are more important than already knowing every building-automation product. Key performance indicators Performance may be assessed against the following measures: Performance area Expected outcome Accuracy Estimates, spreadsheets, schedules, and tender documents are complete, consistent, and prepared using the correct information. Timeliness Tender tasks, supplier follow-ups, clarification requests, and submissions are completed by agreed deadlines. Document control Current drawings, specifications, quotations, and templates are used and stored correctly. Communication Internal teams, suppliers, and stakeholders receive clear and professional updates. Follow-through Missing information, outstanding quotes, approvals, and actions are tracked until resolved or escalated. Learning progress The candidate demonstrates increasing understanding of the company’s systems, products, and estimating process. Team support Technical and project staff receive organised, reliable, and decision-ready tender information. Suggested selection process Candidates should be assessed through a practical task rather than by resume alone. The assessment may include reviewing a short project brief, identifying missing information, creating a supplier-quote comparison, preparing a simple tender checklist, and drafting an email requesting clarification or updated pricing. Candidates should not be expected to design or price a complete building-automation system during recruitment. The purpose of the assessment is to evaluate organisation, spreadsheet ability, written communication, attention to detail, commercial awareness, and willingness to ask appropriate questions.
