About Co-mana
Co-mana is a Brussels-based event and communications agency. Since 2003, we've designed and run corporate events, incentive trips and client communications for multinationals, industry federations and public organisations. From an incentive in Iceland to a medical seminar in Brussels, from a 1,000-guest symposium to a small team workshop. Everything is made in-house by a team of 11 across events, video and graphic design.
The role
As Event Coordinator, you'll work under the supervision of one of our project managers and support the delivery of our corporate events, from preparation to show day. The project manager steers the project as a whole; you take ownership of the operational side and make sure every detail is followed through.
Your day-to-day:
• Logistics coordination: transport, accommodation, catering, activity, equipment
• Registration management on dedicated event platforms
• Venue and destination research
• Day-to-day follow-up with suppliers, clients and our internal teams
• Budget follow-up: updating budget files, checking quotes and invoices
• On-site presence during events, in Belgium and abroad
• Close collaboration with our in-house video and graphic design teams
What we require
• Native or fully fluent French, written and spoken. French is our internal working language.
• Fluent professional English, written and spoken. Most of our clients work with us in English.
• At least 2 years' experience in corporate events (seminars, conferences, incentives, conventions), in an agency or in-house.
• Proven experience supporting a project manager: following a project plan, handling precise tasks autonomously, juggling several projects at once.
• Willingness to work from our Brussels office 3 days a week, with 2 days of remote work.
• A category B driving licence, and readiness to travel abroad for several days at a time.
Nice to have
• Experience with event registration platforms or event apps
• Good command of Excel, PowerPoint and Outlook
• Ideas to enrich the participant experience, and an eye on event trends
• Dutch or another language
We'd rather be upfront
Events come with constraints: trips abroad, adapted hours around events (including evenings and weekends), a fast pace and last-minute changes. We're looking for someone who stays calm, finds practical solutions with the team, and knows when to call on their project manager.
Why Co-mana
• No routine: real projects that matter to our clients and their teams
• A small team where your contribution is visible and recognised
• A front-row seat to every stage of an event, alongside experienced project managers
What we offer
• Permanent full-time contract, starting as soon as possible
• Meal vouchers and eco-vouchers
• Group insurance after 3 months of service
• Mobile phone subscription and laptop
• Hybrid work: 2 days remote per week
Our hiring process
1. CV review: we get back to every applicant within 2 weeks.
2. First interview with Olivier Van Den Hoeck, Managing Director, and Gersende de Kerchove, Operational Manager. Part of the interview is held in English.
3. Second interview with the project manager you'll work with.
