About the role
As our Event Supply Specialist for EMEA, you'll make sure that when a client shortlists a supplier in Europe or the Middle East, we get a confirmed rate and availability back fast. Most of your day is spent on the phone with hotels, venues and restaurants, calling them within one to two hours of a shortlist so they have the time they need to prepare and send a proposal.
Timing is the reason this role is based in EMEA. European hotels and restaurants expect to be contacted in the morning, and they need as much of their own business day as possible to put proposals together. Your day starts when theirs does, so we use those morning hours instead of reaching suppliers in the afternoon from North America. You'll be the anchor for supply coverage during EMEA business hours and hand off cleanly to our Montreal team at the end of your day.
This is also an AI-forward role. Our rates and availability (R&A) process uses AI to recommend suppliers and send inquiries, and Supply call those recommendations before they go out at the two-hour mark. You'll review AI output every day, catch what the model misses, and bring the judgment and supplier relationships that make the result reliable. You won't need to be technical on day one, but you'll need curiosity about how to make AI work harder for the team.
Your role
Supplier outreach and rates and availability
- Call shortlisted suppliers within one to two hours of a shortlist being created in the platform to confirm rates and availability and secure a timely proposal.
- Prioritize the EMEA morning window, when hotels and restaurants are most receptive, so suppliers have the rest of their business day to prepare and send proposals.
- Follow up by phone and email until rates and availability are confirmed, and log every call and response in the platform.
- Manage a high volume of supplier conversations across multiple countries, languages and contracting norms without letting response times slip.
R&A process and AI review
- Give EMEA inquiries immediate attention as they come in, reviewing AI supplier recommendations and vetting them before they are sent out at the two-hour mark.
- Catch gaps, pricing outliers and missing information the model didn't flag, including region-specific issues such as VAT treatment, service charges, currency mismatches, and net vs. gross rates.
- Add suppliers the AI missed when its recommendations are thin or off target, so every EMEA inquiry goes out with a credible set of options.
- Feed EMEA-specific edge cases back to the Supply Manager and our AI Specialists so recommendations improve for multi-country, multi-currency sourcing.
Marketplace coverage
- Fill gaps in the EMEA marketplace that our V2 platform does not yet populate on its own: source and add suppliers, update listings, and keep rates and availability current.
- Work ahead of demand rather than behind it, building coverage in our highest-demand hubs (London, Paris, Amsterdam, Berlin, Barcelona, Madrid, Milan, Dublin, Zurich, Dubai) before client requests arrive, and enough coverage in emerging markets to say yes when they do.
- Monitor sourcing health during EMEA hours, flag friction points, and help resolve issues as they come up.
- Own supply responsiveness during EMEA business hours and hand off open items to the Montreal team at the end of your day, so sourcing keeps moving across time zones.
EMEA supplier relationships and regional knowledge
- Build and manage relationships with EMEA hotels, venues, restaurants, DMCs, catering, AV and activity partners, and be their consistent, responsive point of contact.
- Learn how EMEA suppliers operate and how they expect to be engaged, which differs from North America in contact timing, proposal practices, commercial terms and local norms. You'll work closely with our EMEA Customer Success Lead, who holds much of this knowledge today, and become the team's reference for it over time.
- Flag where our standard terms or processes need regional adaptation.
- Support onboarding of new suppliers and track performance signals (response rate, pricing competitiveness, availability) to identify top partners in each market.
Process and documentation
- Identify repetitive tasks, manual handoffs and recurring quality issues in supply processes and bring them to the team.
- Partner with the Supply Manager and our AI Specialists to test, refine and document AI-assisted workflows (sourcing agents, proposal intake, smart inbox, supplier performance tracking).
- Document EMEA supplier practices and keep playbooks and SOPs current as processes evolve. Documentation is part of the role, not a side task.
How we'll measure your success
You'll be held to the Supply track KPIs in our operating model, with a focus on speed during EMEA hours:
- Time to first supplier contact: shortlisted EMEA suppliers called within one to two hours.
- R&A SLA: EMEA inquiries vetted and sent within the two-hour target.
- Supplier SLA compliance: responses within agreed timelines.
- Pull deal rate: maximizing commission capture on sourced events.
- Commission capture: meeting quarterly targets.
- Marketplace quality: accurate, up-to-date listings and reliable supplier performance across EMEA markets.
AI helps you hit these at scale. Your judgment makes the numbers trustworthy.
About you
- Comfortable on the phone and at ease making a high volume of supplier calls every day. You know a call often gets an answer that an email does not.
- A sense of urgency: you treat a fresh shortlist as time-sensitive and work the morning window deliberately.
- Able to manage a high volume of tasks simultaneously with impeccable organization.
- Proactive rather than reactive: you spot gaps in coverage and fill them before a client asks.
- Keen to learn from experienced colleagues and to build regional expertise you can pass on to others.
- Comfortable working with a distributed team and a manager in a different time zone. You communicate proactively in writing and don't wait to be asked for a status.
- Team-oriented and adaptable, willing to step in where needed and share workload across time zones.
- Curious about AI tools and how they fit into daily work. You treat AI output as a first draft, not a final answer, and you know the difference.
- Bias toward process: when something breaks or feels manual, your instinct is to document, improve or automate it.
Requirements
- Fluent professional English, written and spoken.
- Spoken fluency in at least one additional European language (French, Spanish, German or Italian), at a level that lets you negotiate rates and availability by phone.
- Availability to start your day early in European business hours to match supplier schedules.
Nice to have
- Prior experience in hospitality, events, travel or marketplace operations in EMEA, especially hotel or venue sales, reservations or sourcing.
- Experience sourcing across multiple countries or currencies.
- Exposure to AI assistants (ChatGPT, Claude, Copilot) in a work context. Personal projects count.
Why Planned
You'll join a Customer Success team that is redesigning how event management operates at scale, pairing deep program expertise with AI-augmented delivery. The Supply function is central to that: reliable marketplace performance is what makes every event we deliver possible. As one of our first supply hires in the region, you'll learn EMEA supply directly from the people who know it best, have real ownership over how it operates, and have room to grow within the Supply track as the region scales.
