Ecorys Polska has been part of the Ecorys Group since 1997 and is a leading provider of evaluation, research, consultancy and project management services in Poland.
We are looking for an experienced and highly organised Event & Project Consultant to design, manage and deliver professional events and projects for our clients, primarily in Poland.
The role
You will manage events ranging from large-scale conferences and public events to expert seminars, workshops and policy panels, including online and hybrid formats. You will take ownership of the full event lifecycle — from concept, planning and budgeting through production and delivery to evaluation and follow-up.
The role also includes managing non-event projects and workstreams, working with multidisciplinary teams and clients to deliver high-quality outputs on time and within budget.
Experience with public-sector clients, EU institutions, international organisations or similar institutional clients is highly desirable.
Key Responsibilities
- Design and deliver conferences, seminars, workshops, panels, stakeholder meetings and other professional events.
- Manage events end-to-end, including concepts, agendas, budgets, logistics, production, delivery and reporting.
- Coordinate venues, technical production, catering, interpretation, travel, accommodation and suppliers.
- Manage speakers, moderators, experts, participants and project partners.
- Oversee registration and participant communications where required.
- Manage budgets, timelines, procurement, suppliers and contractual deliverables.
- Maintain strong client relationships and ensure delivery meets client and Ecorys standards.
- Identify risks, resolve operational issues and keep projects on track.
- Manage non-event projects and workstreams, including planning, coordination, budgets and deliverables.
- Support proposals and tenders with event concepts, delivery approaches, budgets and project plans.
- Work closely with research, communications and project teams across Ecorys.
What you will bring
- Proven experience in event management, project management or conference production.
- Experience independently delivering professional events from concept to completion.
- Experience across different event formats and scales, including online and hybrid events.
- Strong organisational, project management and prioritisation skills.
- Experience managing budgets, schedules, suppliers and multiple stakeholders.
- Excellent communication and client management skills.
- A proactive, solutions-focused approach and the ability to remain calm under pressure.
- Strong attention to detail and the ability to see the bigger project picture.
- Confidence working independently and managing non-event projects.
- Proficiency in Microsoft Office and commonly used online event and collaboration platforms.
- Fluent written and spoken English; Polish is an advantage.
Experience with public procurement, framework contracts or EU-funded projects would be an additional advantage.
