EverHealth, a business within EverCommerce, provides modern end-to-end solutions for healthcare providers. Our open, connected ecosystem of solutions and services helps providers engage patients, increase revenue, improve business efficiency, and remain market competitive. We serve 72,000 healthcare practices and counting. EverHealth consists of five SaaS products; DrChrono, iSalus, CollaborateMD, Updox, and MDTec, combined these products offer end to end solutions for the health care industry.
We are looking for an Onboarding Billing Consultant to lead new CollaborateMD customers through the full onboarding journey while helping them establish effective billing and revenue cycle workflows in our practice management and medical billing platform. This role combines end-to-end implementation project ownership with hands-on medical billing expertise, helping customers translate the way they operate today into accurate, scalable workflows in CollaborateMD.
For assigned CollaborateMD customers, the Onboarding Billing Consultant owns the onboarding engagement from initial handoff and kickoff through configuration, workflow consultation, training, readiness validation, go-live, early stabilization, and transition to Customer Success. You will serve as the customer's primary O&I point of contact, manage the project plan and dependencies, and coordinate with Sales, Enrollment, Customer Success, Support, Product, and other specialists as needed.
This is a customer-facing implementation and consulting role for someone with hands-on medical billing knowledge who enjoys leading projects, teaching, investigating problems, and making complex workflows easier for others. You do not need extensive implementation tenure, but you must understand the medical claim lifecycle, keep customers and internal partners aligned, and confidently guide each engagement toward measurable go-live outcomes.
Responsibilities
- Own assigned CollaborateMD onboarding engagements from internal handoff and customer kickoff through configuration, training, go-live, early stabilization, and transition to Customer Success.
- Serve as both the primary customer point of contact and the billing and RCM subject matter expert throughout the O&I journey.
- Review and validate Sales discovery, customer goals, expected claim volume, current billing workflows, purchased solutions, stakeholders, timeline expectations, and known risks before and during kickoff.
- Build and manage the onboarding project plan, milestones, dependencies, action items, customer commitments, risks, and escalations; maintain accurate status in the designated project and customer systems.
- Lead customer meetings and maintain a clear communication cadence so stakeholders understand progress, decisions, responsibilities, risks, and next steps.
- Lead focused billing consultation and working sessions with customer stakeholders; recommend practical workflows based on the customer's business model, staffing, payers, and use of CollaborateMD.
- Guide customers through core revenue cycle workflows, including charge entry, claim creation and submission, claim status, rejections and denials, payment posting, ERAs and EOBs, patient balances, statements, collections, accounts receivable follow-up, and operational reporting.
- Help customers understand how payer enrollment, credentialing, clearinghouse requirements, interfaces, and data readiness affect claim submission and reimbursement timelines.
- Review billing configuration and workflow decisions for accuracy and readiness, including providers, payers, claim settings, billing rules, remittance workflows, reporting, and other applicable setup.
- Support test-claim and production-claim readiness by helping customers interpret results, correct workflow or configuration issues, and establish a repeatable process for monitoring and resolving rejections.
- Establish and apply clear readiness criteria for go-live, confirming required configuration, enrollment and clearinghouse dependencies, training, workflow validation, and production-claim readiness before the customer advances.
- Review early production activity for signs of risk, such as providers remaining in test mode, low claim volume, recurring rejections, missing remittances, or incomplete billing workflows, and own coordination of the response through resolution or documented transition.
- For billing-company and multi-entity customers, plan and manage agreed client or provider waves during the O&I engagement, applying a repeatable readiness and activation approach for each wave.
- Document customer decisions, recommended workflows, open risks, dependencies, and follow-up actions clearly in the designated customer systems.
- Prepare and lead a structured transition to Customer Success that identifies the customer's established workflows, completed milestones, remaining dependencies, early production results, open risks, ownership, and recommended follow-up.
- Respond promptly to customer and internal questions, identify priority issues, and coordinate technical, enrollment, product, or support needs with the right team while retaining accountability for the onboarding experience.
- Contribute billing expertise to customer resources, internal playbooks, training materials, and process improvements.
- Maintain current knowledge of CollaborateMD billing functionality and relevant medical billing practices.
What Success Looks Like
- Assigned onboarding projects progress against a clear plan, with milestones, owners, dependencies, risks, and decisions kept current.
- Customers understand and can execute their end-to-end billing workflow in CollaborateMD.
- Billing configuration and workflow risks are identified before they delay live claim activity or reimbursement.
- Customers reach meaningful billing milestones, including successful production claims and payment workflows, with fewer avoidable errors and less rework.
- Customers meet defined go-live and transition criteria, and Customer Success receives clear operational and billing context without having to rediscover the customer's journey.
- Billing-company and multi-entity customers progress through planned client or provider waves using a repeatable readiness and activation model.
- Customer commitments, internal dependencies, and escalations are documented accurately and addressed promptly.
Skills and Experience
- High school diploma or GED required; associate degree or relevant billing certification preferred.
- At least two years of hands-on experience in medical billing, revenue cycle management, or a closely related role. Relevant experience may include charge entry, claim submission, payment posting, denial or rejection follow-up, accounts receivable, payer enrollment, or patient collections.
- Working knowledge of the medical claim lifecycle, including how payer, provider, enrollment, clearinghouse, claim, remittance, and patient-responsibility workflows connect.
- Ability to investigate billing issues, identify likely root causes, and explain recommended actions in clear, practical language.
- Comfort facilitating virtual working sessions and teaching customers with different levels of billing and technology experience.
- Strong written communication and documentation skills, including the ability to summarize workflows, risks, decisions, and next steps.
- Ability to manage multiple customer onboarding projects, maintain accurate plans and timelines, follow through on commitments, and prioritize customer-impacting issues.
- Patient, supportive communication style and the ability to guide customers through unfamiliar or complex processes.
- Comfort learning and using practice management, medical billing, CRM, project-management, and collaboration tools.
Preferred Experience
- Experience using medical billing or practice management software; CollaborateMD experience is a plus.
- Experience supporting medical practices, medical billing companies, or multi-provider organizations.
- Familiarity with professional claims; experience with institutional claims is a plus.
- Experience delivering customer training, workflow consultation, software onboarding, or software-enabled process improvement.
- Experience with Salesforce, TaskRay, ChurnZero, or comparable customer-management tools.
