About The Role

We are seeking a highly organized, proactive, and people-first Executive Administrative Assistant to join our team at our San Francisco headquarters. This hybrid role combines executive support and business operations, making it ideal for someone who enjoys variety and excels at keeping organizational processes running smoothly. The successful candidate will work closely with our CEO and executive team to facilitate daily operations, support strategic priorities, and foster a positive company culture.

This role involves managing the CEO’s calendar, coordinating logistics for meetings, and assisting with various administrative tasks to ensure the executive team remains focused and effective. Additionally, the role includes supporting people operations initiatives, planning company events, and maintaining a welcoming office environment. The position requires a candidate who is adaptable, discreet, and attentive to detail, with a passion for creating a productive and engaging workplace.

Note: This position is based in San Francisco and requires presence at our Financial District office three days per week. Candidates must reside in the San Francisco area.

Qualifications

  • Proven experience in an Executive Assistant, office management, operations, or administrative support role
  • Excellent organizational and time management skills
  • Strong communication skills, both written and verbal
  • Discreet and trustworthy handling sensitive information
  • Proficiency in Google Suite (Drive, Docs, Sheets) and Zoom
  • Ability to anticipate needs and proactively address issues
  • Adaptability and flexibility in a fast-paced environment
  • People-oriented mindset with a focus on team experience
  • Interest or familiarity with AI and enterprise technology solutions is a plus
  • Reside in or near the San Francisco area

Responsibilities

  • Manage the CEO’s calendar, including scheduling and coordinating meetings with internal and external stakeholders
  • Prepare meeting materials, agendas, and follow-up actions to ensure productive sessions
  • Handle ad hoc administrative tasks to support the CEO’s priorities and workflow
  • Triaging and routing communications efficiently
  • Support planning and execution of company offsites, team events, and culture initiatives
  • Assist with onboarding logistics and special programs related to People Operations
  • Help create an engaging in-office experience for employees and visitors
  • Maintain office supplies, manage inventory, and ensure the workspace remains clean and welcoming
  • Set up and break down conference rooms for meetings, presentations, and events
  • Liaise with building management and vendors to coordinate office needs
