Executive Administrative Assistant

Salary Range: $800–$1,000

Work Schedule:
Time Range: Between 7 AM and 7 PM CST
Working Hours: 9 hours per day (8 working hours + 1-hour break)
Days Off: TBD (2 days per week)

About the Role

TeamFicient is looking for a highly organized, proactive, and professional Executive Administrative Assistant to provide high-level administrative and operational support to executives and leadership teams.

The ideal candidate will be responsible for managing schedules, coordinating meetings, preparing documents, handling communications, organizing information, and supporting day-to-day executive operations. This role requires excellent attention to detail, discretion, communication skills, and the ability to manage multiple priorities in a fast-paced remote environment.

Core Responsibilities

Executive Support

  • Provide comprehensive administrative support to executives and senior leadership.

  • Manage executive calendars, appointments, meetings, and schedules.

  • Coordinate internal and external meetings across multiple time zones.

  • Prepare meeting agendas, presentations, reports, and other executive documents.

  • Track action items, deadlines, and follow-ups from meetings.

  • Assist executives with daily organization and prioritization of tasks.

Communication & Correspondence

  • Manage and organize executive emails, messages, and correspondence.

  • Draft, proofread, and format professional emails, documents, presentations, and reports.

  • Communicate professionally with clients, vendors, employees, and external partners.

  • Handle confidential and sensitive information with professionalism and discretion.

  • Ensure important communications and requests are followed up on in a timely manner.

Administrative & Operational Support

  • Organize and maintain digital files, records, documents, and databases.

  • Coordinate travel arrangements, itineraries, accommodations, and schedules when required.

  • Assist with expense tracking, reimbursements, and administrative documentation.

  • Support planning and coordination of company events, meetings, and special projects.

  • Conduct research and prepare summaries or reports as requested by leadership.

  • Assist with various administrative and operational projects.

Project & Task Coordination

  • Support executives with tracking projects, priorities, and deliverables.

  • Coordinate with internal departments to ensure tasks and requests are completed.

  • Monitor deadlines and proactively communicate potential delays or issues.

  • Maintain task lists and follow up with relevant stakeholders.

  • Help improve administrative workflows and organizational processes.

Candidate Qualifications

Must-Haves

  • 2+ years of professional experience as an Executive Assistant, Administrative Assistant, Personal Assistant, Office Administrator, or similar role.

  • Excellent written and verbal communication skills.

  • Strong organizational, time-management, and multitasking abilities.

  • Proven ability to manage calendars, meetings, schedules, and competing priorities.

  • Strong proficiency with Microsoft Office or Google Workspace, including Outlook/Gmail, Word/Docs, Excel/Sheets, and PowerPoint/Slides.

  • Excellent attention to detail and accuracy.

  • Ability to handle confidential and sensitive information professionally.

  • Strong follow-up and task-management skills.

  • Ability to work independently and proactively in a remote environment.

  • Professional and polished communication style.

  • Bachelor’s degree in Business Administration, Management, Communications, or a related field is preferred, or equivalent practical experience.

Good to Haves

  • Experience supporting C-level executives or senior leadership.

  • Experience working with international or distributed teams.

  • Familiarity with project management and collaboration tools such as Asana, Monday.com, ClickUp, Trello, Slack, or Microsoft Teams.

  • Experience coordinating international travel and complex schedules across multiple time zones.

  • Experience preparing executive presentations, reports, and business documents.

  • Strong knowledge of business administration and office management practices.

  • Experience working in a fast-paced startup or professional services environment.

  • Bilingual or multilingual communication skills.
