Executive Assistant

Job Description

Position Summary: Cultivus+ is seeking a REMOTE Executive Assistant serves as a trusted partner to executive leadership, managing daily administrative functions, coordinating communications, organizing schedules, and supporting key business initiatives. This role requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities
  • Manage complex calendars, scheduling appointments, meetings, conferences, and travel arrangements.
  • Coordinate and prepare meeting agendas, presentations, reports, and correspondence.
  • Serve as a primary point of contact between executives, employees, clients, and external stakeholders.
  • Screen and prioritize communications, including emails, phone calls, and other inquiries.
  • Maintain confidential information with the highest level of discretion and professionalism.
  • Organize and coordinate executive meetings, board meetings, and special events.
  • Track and follow up on action items, deadlines, and strategic initiatives.
  • Prepare expense reports, budgets, and other administrative documentation.
  • Create and maintain filing systems, records, and databases.
  • Assist with project management and support cross-functional business initiatives.
  • Anticipate executive needs and proactively resolve issues to improve efficiency.
Required Qualifications
  • High school diploma required; Associate's or Bachelor's degree preferred.
  • 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar support role.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Excellent written and verbal communication skills.
  • Strong organizational, time management, and multitasking abilities.
  • Ability to work independently and make sound decisions.
  • Demonstrated ability to handle sensitive and confidential information.
Preferred Skills
  • Bilingual Spanish
  • Experience supporting senior executives or C-suite leaders.
  • Project coordination and event planning experience.
  • Strong problem-solving and critical-thinking skills.
  • Ability to prioritize competing demands in a dynamic environment.
  • Experience with scheduling, travel management, and budget tracking.
