Profile Requirements:
- Proven experience as an Executive Assistant or senior administrative professional with a demonstrated ability to work independently and take ownership of tasks
- Excellent spoken and written English communication skills with a confident and professional phone manner
- Proactive and self-directed with the ability to manage competing priorities without requiring constant supervision or hand-holding
- Experience managing calendars, inboxes, invoicing, and client communications across a service-based or professional practice environment
- Strong organisational skills and attention to detail with reliable follow-through on all tasks and commitments
- Comfortable working autonomously in a remote environment and taking initiative to resolve issues and progress tasks without being prompted
Core responsibilities:
- Manage and organise the director's calendar including scheduling coaching sessions, school program meetings, and appointments
- Handle inbound and outbound phone calls and emails on behalf of the business in a professional and warm manner
- Process invoicing and follow up on outstanding payments from coaching clients and program participants
- Proactively follow up on proposals, enquiries, and expressions of interest without waiting to be directed
- Fill cancelled appointments by reaching out to the waitlist or prospective clients promptly
- Assist with the administration of school council programs and private practice operations
- Manage booking systems and maintain accurate client records and contact databases
- Draft and send correspondence, program materials, and general communications on behalf of the director
- Take ownership of recurring administrative tasks and identify opportunities to improve processes and systems
- Support the growth of the private practice and school programs through proactive administrative coordination
