Remote — Candidates must live outside South Carolina and Georgia
Plumbing Solutions LLC is looking for a highly organized, dependable, and discreet Executive Assistant to work directly with the owner of our growing businesses.
The owner oversees two South Carolina-based companies — a residential plumbing contractor operating across multiple markets and a luxury bath showroom. With a busy schedule, a constant flow of calls, texts, emails, appointments, deadlines, and projects, we are looking for someone who can bring organization, follow-through, and calm to the day-to-day. This is more than a calendar-management position. We are looking for someone who can take ownership, think ahead and protect the owner's time.
What You'll Do
You'll become the owner's go-to person for managing the details that keep his professional and personal schedule moving.
Your responsibilities will include:
- Managing and organizing incoming email, phone calls, texts, and other communications
- Determining what needs the owner's attention and what can be handled or routed without interrupting him
- Managing the calendar, appointments, travel, reservations, and commitments
- Tracking deadlines and following up until things are actually completed
- Preparing a concise daily summary of items that require the owner's attention
- Making approved purchases and coordinating returns, renewals, and other administrative tasks
- Coordinating with vendors and outsourced service providers
- Handling personal and household logistics when requested
- Organizing information and records using Google Workspace, Notion, Smartsheet, and other tools
- Researching questions and providing concise, decision-ready information
- Helping manage projects from start to finish
- Creating simple procedures and documentation as you learn recurring responsibilities
- Using AI and technology to make recurring work more efficient
The goal isn't simply to keep up with messages. The goal is to make sure the right things get handled, the important things don't get missed, and the owner can stay focused on the things that only he can do.

The right person for this role is someone who naturally thinks: "I'll take care of it."
You are organized without being reminded. You follow up without being asked twice. You notice details. You can work independently and are comfortable making reasonable decisions within established guidelines.

Experience supporting an owner or senior executive is strongly preferred.
You will be trained on the owner's preferences, systems, and processes.

Experience with Google Workspace, Notion, Smartsheet, Zapier, Make, n8n, or similar tools is a plus. Most importantly, we want someone who can demonstrate that they have used technology to solve real problems — not simply someone who can list software on a resume.
This Is a Different Kind of Remote Role
This position works directly for the owner and is intentionally separate from the company's day-to-day organizational structure.
You won't be expected to sit in company meetings, manage employees, or become involved in office politics.
Your job is to support the owner.
You'll have clear guidelines for what you can handle yourself, what should be brought to his attention, and what should be routed to the appropriate person.
That means you won't have to constantly wonder, "Does he want me to handle this or bother him about it?"
The systems and expectations will be clearly defined.
Schedule: Monday–Friday, 7:30 AM–5:00 PM Eastern Time
Work Arrangement: 100% Remote
Location Requirement: Candidates must reside outside South Carolina and Georgia.
There is no office requirement, travel requirement, or site-visit requirement for this position.
This is a dedicated single-principal position, meaning your primary responsibility will be supporting one owner rather than working for multiple clients or through an agency.

This position involves access to sensitive business and personal information.
We are looking for someone who understands that trust is earned through consistency, discretion, and good judgment.
You should be comfortable handling confidential information without sharing details unnecessarily — including during the interview process.
A confidentiality agreement will be required as part of employment.

Our Interview Process
We want to get to know you, but we also want to see how you actually work.
Our process will generally include:
- Application
- Initial phone conversation
- A one way recorded interview (link will be emailed)
- A short, approximately 30-minute working exercise
- Second Interview (link will be emailed)
- Hiring decison
The working exercise will give you a sample set of messages or requests and allow us to see how you decide what to handle, what to hold, what to follow up on, and what actually needs the owner's attention. It's less about having the "perfect" answer and more about seeing how you think.

Requirements
Minimum Qualifications
• 3+ years supporting an owner or senior executive with demonstrated communication-triage ownership, not calendar-only support
• Evidence of using AI tools to run real workflows, with examples and results
• Proficiency in Google Workspace and at least one of Notion or Smartsheet
• Verifiable references on confidentiality and follow-through
Role-Specific Competencies
• Judgment at the edges of rules: applies the matrix to messy real inputs and logs the call
• AI fluency at the workflow level: prompting, structured data, automation, not tool name-dropping
• Documentation as default behavior: builds the Playbook without being told
• High discretion, low drama, comfortable being invisible
• Remote self-management: produces daily visible output without supervision
Success Measures
• Escalations reaching the CEO per day, trending down with zero material misses
• Protected morning compliance percentage
• CEO last work-send timestamp moving into business hours
• Open loops closed on time; SLA met on CEO-behalf responses
The 90-day test is not "were assigned tasks completed." It is: does the CEO day actually run differently.
