PAY RANGE
The Target Pay Range for this position is $106,600.00-$130,100.00 annually. The full Pay Range is $82,900.00 - $154,000.00 annually. At BECU, compensation decisions are determined using factors such as relevant job-related skills, experience, and education or training. Should an offer for employment be made, we will consider individual qualifications. In addition to your salary, compensation incentives are available for the hired applicant. IMPACT YOU'LL MAKE:
As the Executive Assistant supporting BECU's Chief Technology Officer (CTO), you will play a critical role in helping executive leadership operate effectively and efficiently. Your ability to anticipate needs, manage competing priorities, maintain confidentiality, and foster strong relationships will directly support strategic initiatives, organizational goals, and exceptional service across the credit union. You will be a trusted partner to executives, ensuring seamless coordination, communication, and execution in a dynamic and fast-paced environment.
This is a hybrid role. In-office presence is expected when the CTO is in the office, for board related activities, and as needed to support key meetings, events and other business needs.
WHAT YOU'LL DO:
- Executive Calendar & Travel Management: Coordinate complex calendars, meetings, and travel arrangements, including detailed itineraries and trip planning to ensure executives remain focused on strategic priorities.
- Executive Liaison Support: Serve as a primary point of contact for internal and external stakeholders, managing communications, prioritizing sensitive correspondence, and supporting executive engagements and relationships.
- Confidentiality & Discretion: Exercise sound judgment, discretion, and confidentiality when handling sensitive information and executive matters.
- Administrative Partnership: Support the Executive and, as directed, assist with broader divisional administrative needs, including onboarding coordination, project participation, and related initiatives.
- Board & Committee Coordination: Organize meeting logistics, coordinate agendas, compile and distribute meeting materials, record meeting minutes, track action items, and maintain document archives for Board and Management Committee meetings.
- Budget & Financial Administration: Support annual financial planning, maintain department budgets, develop budget spreadsheets, and assist with financial tracking activities.
- Expense & Invoice Management: Process expense reports, coordinate invoice submissions, track expenditures, and research spending as requested.
- Meeting & Event Planning: Plan and manage logistics for both on and offsite meetings, leadership events, and special gatherings.
- Process Improvement: Identify opportunities to improve workflows and administrative processes, helping increase efficiency, effectiveness, and service quality.
- Research & Reporting: Conduct research and compile informational reports, summaries, and executive-ready materials to support leadership decision-making.
- Strategic Initiative Support: Assist with special projects, strategic initiatives, and executive priorities by coordinating deliverables, preparing presentations and status updates, tracking action items, and identifying potential risks.
- Technology & Productivity Tools: Leverage advanced Microsoft Office applications and Microsoft Copilot to streamline processes, enhance reporting, and support operational excellence.
- Member & Stakeholder Service: Respond to member inquiries with professionalism, diplomacy, ensuring appropriate follow-up as needed.
- Cross-Functional Collaboration: Maintain an understanding of organizational functions and how areas interact, collaborating across the organization as needed to support effective coordination.
- Team Support & Coverage: Provide back-up support to fellow Executive Assistants and contribute to a collaborative team environment.
- Leadership Engagement: Help foster a positive team culture by coordinating morale-building activities, assembling meeting materials, creating presentations, and proofreading documents.

QUALIFICATIONS:
Minimum Qualifications
- Bachelor’s degree, or equivalent work or education-related experience.
- Minimum of 5 years of general administrative assistance work.
- Experience utilizing remote communication software and collaboration technologies to support virtual meetings, team engagement, and effective cross-functional collaboration and event planning.
- Experience supporting meetings through agenda preparation, meeting documentation, minute-taking, and action item tracking.
- Proficiency with Microsoft Office Suite, including Outlook, Word, PowerPoint, Visio, and Excel.
- Demonstrated verbal and written communication skills required to effectively communicate and provide customer service.
- Demonstrated experience managing multiple priorities, schedules, projects, and deadlines.
- Demonstrated analytical, interpersonal, and problem-solving capabilities with the ability to evaluate information and support decision-making.
Desired Qualifications
- Additional 3 years of experience supporting Senior or C-Suite level Executives preferred. Experience supporting executives during technology transformation, digital transformation, business modernization, or similar organizational change initiatives. Budget preparation and planning experience.
- Financial services, banking, credit union, or other regulated industry experience.
- Experience creating reports, analyses, or executive-ready materials using advanced Microsoft Office applications, including Excel, Microsoft Copilot, or similar AI-enabled productivity tools.
- Experience supporting executive reporting, strategic initiatives, special projects, and tracking organizational priorities.
- Experience with SharePoint and any specific applications/programs used in the Executive’s division.
