We’re looking for an experienced NZ-based Executive Assistant to support the NZ-based leader responsible for the day-to-day running of our USA-based insurance business.
You’ll help keep priorities clear, meetings productive, and commitments on track. By taking ownership of scheduling, preparation, communication, and follow-up, you’ll give our leadership more time to focus on people, clients, and business growth.
This role suits someone who is highly organized, exercises good judgment, and enjoys anticipating what needs to happen next.
What you’ll do
- Manage the calendar and inbox: Prioritize requests, coordinate meetings, direct inquiries to the right people, and protect time for focused work.
- Prepare leadership meetings: Gather reports and updates, organize agendas, and ensure materials are ready in advance.
- Keep track of decisions and commitments: Capture meeting notes, document responsibilities and deadlines, follow up with team members, and flag items that need attention.
- Help prepare for decisions: Gather information across departments and turn it into clear, concise summaries.
- Coordinate business relationships: Arrange meetings with insurers, referral partners, and other key contacts, prepare relevant materials, and track next steps.
- Support internal projects: Maintain timelines, coordinate assigned tasks, and keep the business leader informed of progress and obstacles.
- Assist with hiring and onboarding: Schedule interviews, organize feedback, and coordinate onboarding activities with the hiring manager.
- Keep information organized: Maintain accessible records, documents, and processes while handling sensitive information with discretion.
What success looks like
The leader you support is well prepared and focused on the work that needs their attention. Meetings have clear agendas and documented next steps. Information is easy to find, commitments are followed up, and potential problems are surfaced early.
You’ll own the coordination and administrative follow-through, while business decisions and team management remain with the relevant leaders.
- Previous experience as an Executive Assistant (or similar role) supporting a senior leader.
- Strong organizational skills and reliable follow-through across competing priorities.
- Excellent written and verbal communication.
- Sound judgment about what you can handle independently and what needs to be escalated.
- Confidence following up with colleagues, including senior team members, professionally and respectfully.
- The ability to anticipate needs, spot missing information, and take initiative.
- Comfort with calendars, email, spreadsheets, shared documents, and task-management tools.
- Discretion when handling confidential business, employee, and client information.
Experience in insurance or professional services is helpful but not essential. You don’t need prior knowledge of our management framework—we’ll teach you how we plan, run meetings, and track priorities.
