About IRIS
IRIS Software Group is one of the UK's largest privately held software companies, trusted by 100,000+ businesses, schools and accountancy firms to keep their operations running. Our software pays 1 in 6 UK employees, supports over 12,000 schools, and is relied on by 91 of the top 100 UK accountancy firms.
We're a Great Place to Work® certified employer, recognised for our commitment to well-being, inclusion and development - and we're growing fast.
At IRIS Software Group, we develop software that helps businesses, schools and organisations manage essential processes, work more efficiently and achieve more.
We're looking for an experienced Executive Assistant with a proven background supporting Managing Directors, C-suite executives or senior business leaders to join our team.
You'll provide high-level support to our Managing Directors, managing complex diaries, international travel, important meetings and senior stakeholder relationships. You'll also help prepare business presentations, coordinate projects and ensure key actions are followed through.
This is an opportunity to become a trusted partner to senior leadership, using your judgement, initiative and organisational skills to keep priorities on track in a busy, growing international business.
🧾 Why This Role Matters
Our Managing Directors lead key areas of IRIS, make important business decisions and help drive our growth.
You'll make their working lives easier by managing competing priorities, ensuring they're prepared for important meetings and keeping business activities moving forward.
Your contribution will go beyond administration, helping senior leaders focus their time on the decisions and activities that matter most.
👥 About the Team You'll Join
You'll join a collaborative team of five Executive Assistants, providing dedicated support to senior leaders across IRIS.
You'll work closely with our Managing Directors, building relationships with senior stakeholders, internal teams and external contacts internationally.
This is a hybrid role based at Heathrow Approach (SL3 8QY), requiring approximately 1-2 days per week in the office, plus additional days when your Managing Directors are on-site. Occasional UK travel may also be required to support key meetings.
📊 What You'll Be Doing
Executive support: Provide proactive, high-level support to our Managing Directors, anticipating their needs, managing priorities and acting as a trusted point of contact.
Diary and inbox management: Manage complex schedules, email correspondence, competing requests and last-minute changes, responding on behalf of Executives where appropriate.
International travel: Coordinate global travel arrangements, including flights, hotels, visas and itineraries, managing schedules across multiple time zones.
Executive meetings: Organise meetings, prepare agendas and briefing materials, take minutes, record actions and follow up with senior stakeholders.
Presentations and reporting: Create professional PowerPoint presentations, maintain business reports and organise information to support leadership decisions.
Stakeholder coordination: Communicate with senior internal and external stakeholders, including C-suite contacts, ensuring effective communication and professional meeting arrangements.
Projects and administration: Support business projects, track actions, manage expense claims and handle confidential information accurately and professionally.
🔎 What We’re Looking For
We're particularly interested in experienced Executive Assistants who are confident supporting senior leaders in fast-paced, complex corporate environments.
You'll bring:
Executive-level experience: Significant experience supporting Managing Directors, CEOs, CFOs, COOs or other C-suite/senior executives in an Executive Assistant capacity.
Complex diary and inbox management: Proven experience coordinating demanding schedules, balancing competing priorities and managing correspondence on behalf of senior leaders.
International travel coordination: Experience organising complex overseas business travel, managing different time zones and handling changing arrangements.
Meeting management: Experience preparing executive meeting materials, taking accurate minutes, tracking actions and communicating with senior stakeholders.
Microsoft Office expertise: Strong PowerPoint, Excel, Word and Outlook skills, including creating business presentations and working with reports and data.
Business awareness: An understanding of business priorities and the confidence to work with senior leaders, anticipate requirements and make informed decisions.
Communication and discretion: The ability to communicate professionally with stakeholders at all levels while handling confidential and sensitive information.
Organisation and independence: Experience working with minimal supervision, managing deadlines, resolving problems and adapting when priorities change.
Above all, we're looking for someone who takes ownership, thinks ahead and knows how to provide effective support to senior business leaders without needing constant direction.
🎁 What You’ll Gain
Senior leadership exposure, working directly with our Managing Directors and gaining insight into key business decisions.
Variety and responsibility, combining executive support with business reporting, projects and senior stakeholder engagement.
A collaborative EA team, working alongside experienced colleagues supporting senior leaders across IRIS.
Hybrid working and development opportunities within a growing international software organisation.
