Are you ready to be the operational backbone of a fast-growing pioneer in quantum computing?
At Qblox, we're accelerating the worldwide race to build scalable quantum computers, providing the world's best quantum control stacks. We're not just building hardware; we're building the future.
Where you come in
As our experienced Executive Assistant to the Leadership Team, you will keep our executive leadership moving at speed. In a fast-growing deep-tech scale-up, speed, precision, and technical awareness are critical. You will serve as the central operational backbone supporting our CEO, President, and C-Suite.
You will streamline communication across engineering, commercial, and investor streams, anticipating friction before it happens. As a verbally strong communicator, you will actively assist the C-suite in preparing and crafting impact-driven internal communications across the organization. Working from our headquarters in Delft, you will partner closely with our Delft Office Manager, external assistant support, HR, Facilities, and Marketing.
What you'll do
Strategic Calendar Management: Own complex, multi-time zone calendars for the leadership team, balancing internal team syncs, board meetings, investor roadshows, and deep-work focus time.
Communications & Inbox Management: Triage, filter, and draft correspondence on behalf of executives; act as an authoritative gatekeeper and clear communicator across Slack, Email, and Notion.
Executive Communication Prep: Serve as a sounding board and verbal partner for the C-suite, helping structure, refine, and prepare high-impact internal messages and leadership updates.
Travel & Logistics: Organize seamless domestic and international travel, including itineraries, visas, conference access, and emergency adjustments on the fly.
Board & Leadership Meetings: Prepare agendas, collate board decks with executive inputs, take precise minutes, and track actionable post-meeting deliverables.
Stakeholder Coordination: Coordinate interactions with external advisors, academic partners, venture capitalists, grant bodies, and key enterprise clients.
Leadership Offsites & Events: Lead end-to-end planning and logistics for executive offsites, town halls, investor days, team summits, and guest visits to our offices.
Ad-Hoc Initiatives: Step in to drive operational micro-projects, cross-functional initiatives, or culture programs to keep leadership focused on scaling.
Enough about us, what about you? To truly excel and lead the charge in this role, we envision you'll have the following skills and experience:
The Non-Negotiables:
Proven Track Record: 5+ years of experience as an Executive Assistant, Personal Assistant, or Operations Coordinator supporting C-level executives, preferably in venture-backed tech, scale-ups, or research-driven environments.
Verbal & Written Mastery: Exceptional written and verbal English skills. You are articulate, confident, and capable of translating executive directives into clear operational steps and impactful internal messaging.
Tool Fluency: Expert proficiency in modern collaboration platforms, with Google Workspace being our standard platform.
Anticipatory Thinking: The ability to solve operational bottlenecks 3 steps ahead, working autonomously with minimal direction.
Extreme Discretion: Natural handling of highly sensitive business IP, hiring plans, and investor relations with strict confidentiality.
Adaptability in Ambiguity: Comfortable operating in a high-velocity, evolving environment where priorities shift quickly.
Nice to Haves & Perks:
Dutch fluency or professional proficiency is a strong advantage (Nice to have).
Hands-on experience organizing international team offsites and leadership summits with an eye for detail.
A collaborative mindset and natural affinity for teaming up with HR, Facilities, and Marketing on key company events.
