About the role
Zepz operates in a high-velocity, fast-paced FinTech scale-up environment subject to rapid growth, regulatory transformation, and evolving executive structures. We are seeking a proactive, highly organised Executive Assistant to provide dedicated 1:1 dual executive support to two core Executive Committee members: the Chief Product & Technology Officer (CPTO) and Chief Risk & Compliance Officer (CRCO). Operating within a flat, highly collaborative EA team function, the ideal candidate will act as a strategic partner, ensuring seamless daily calendar governance, complex travel logistics, and task ownership across both executive offices.
Key Responsibilities
- Dual Calendar Governance & Administration
- Manage complex, conflicting multi-timezone calendars in Google Calendar for the CPTO and CRCO, driving planning up to 3 months ahead while protecting focus time, buffer slots, and runoff periods.
- Execute high-volume inbox gatekeeping and filtering, driving tasks independently to 100% completion using shared tracking tools (daily priority notes, shared docs).
- Practice diplomatic gatekeeping, balancing firm boundary protection for executive time with maintaining warm, approachable relationships across direct reports and wider teams.
- Prepare and organise briefing documents, meeting materials, board packs, and presentation decks across product, engineering, risk, compliance, and regulatory remediation initiatives.
- Travel Logistics & Event Coordination
- Book complex global travel itineraries, accommodation, and door-to-door logistics, capturing executive preferences upfront (loyalty numbers, seating, flex tickets) and executing rapid turnarounds.
- Plan and coordinate executive offsites, leadership strategy days, product/tech forums, and company-wide culture events.
- Participate in rotational EA team coverage for international offsites (e.g. Nashville, Barcelona, Cape Town).
- EA Team Collaboration & Cross-Functional Support
- Operate as part of a flat 3-person EA function, sharing context, solving bottlenecks, and providing mutual back-up coverage across ExCo leadership.
- Liaise with cross-functional teams to track key deliverables, gather status updates, and support strategic CPTO/CRCO initiatives.
Requirements
- Native Google Workspace Fluency: Expert knowledge of Google Calendar mechanics, Slack and Gmail inbox management.
- Fast-Paced Scale-Up / Tech Pedigree: Demonstrated experience supporting C-suite leaders in high-velocity fintech, tech scale-up, VC, or entrepreneurial environments.
- Proactive Task Ownership: Self-starter who anticipates needs, interprets vague briefs with common sense, and independently reorganises conflicting priorities across two C-suite personalities.
- Agility & Resilience: Thrives in a dynamic, evolving environment where priorities shift quickly, adapting seamlessly to changing leadership structures and fast-moving offsite travel demands.
Preferred Qualifications
- Prior experience supporting a CPTO/CTO (product/engineering focus) or a CRCO/CCO (Risk, Compliance, Regulatory & Governance focus in fintech or payments).
- Familiarity with AI tools (e.g. Google Gemini Pro, Claude) for meeting preparation, draft communications, and workflow efficiency.
- Background or exposure to Risk, Compliance, or Regulatory project coordination.
AI Literacy & Tools
As Zepz continues to build AI into how we work, we expect everyone to engage with it as a core part of their role. For this position we are looking for:
- A genuine curiosity about AI and how it can be applied in your area of work — from accelerating analysis and insight generation, to improving how we design and deliver processes and communications.
- Practical experience using AI tools in a professional context — whether to connect information, draft content, build frameworks, or create insights from data. We want people who actively use AI to increase productivity, not those who are waiting to be told to.
- Strong AI literacy — an understanding of what AI assistants can and cannot do, how to prompt effectively, and how to critically evaluate AI-generated output before using it.
- Awareness of the ethical considerations and responsible use of AI in the workplace, particularly in the context of sensitive data, customer experience, and compliance.
- Prior experience using Claude (Anthropic) is a nice-to-have but not essential — what matters most is that you are genuinely engaged with AI as a tool, comfortable experimenting, and eager to share what works with your wider team.
If you want to join us in our journey to help break barriers in financial access and improve lives globally, there's no better place or time to join.
Our global team of 800+ people is spread across six continents. We aspire to hire the best mix of people from former Olympians to YouTube influencers and we speak over twenty languages. This incredible diversity isn't a bonus; it's the engine that lets us serve the world.
