Executive Assistant

As Executive Assistant, you will keep senior leaders focused on clients, growth and strategic priorities by providing high-quality administrative and operational support. You will play a key role in ensuring the smooth running of the business, coordinating complex schedules, managing communications and supporting effective decision-making.

Performance Objectives

  • Manage end-to-end diary scheduling, travel arrangements and meeting coordination for senior leaders, minimising conflicts and ensuring commitments run smoothly.

  • Prepare concise briefing packs, meeting materials and follow-up actions to support informed decision-making.

  • Handle confidential commercial and regulatory information with discretion while coordinating across multiple teams and stakeholders.

  • Anticipate operational needs and resolve issues independently, allowing senior leaders to focus on strategic priorities and client-facing activities.

  • Coordinate internal events, board papers and stakeholder communications to support effective collaboration across the business.

  • Track and follow up on actions arising from leadership meetings, ensuring deadlines are met and outstanding items are progressed.

Environment & Resources

You will report to a senior leader in the Dublin 4 office, with hybrid working arrangements. You will support a high-performing team of professionals in a regulated, client-focused environment. You will have access to Microsoft 365 and relevant internal systems, alongside opportunities to support business events, travel arrangements and professional development.

The role sits at the centre of a collaborative business that values initiative, accountability and high standards of service.

Essential Qualifications

  • Proven experience managing complex diaries and providing confidential support to senior executives, ideally within a professional services or financial services environment.

  • Excellent written and verbal communication skills, with the ability to prepare clear, accurate documentation under time pressure.

  • Strong organisational skills, attention to detail and sound judgement when handling sensitive commercial information.

  • A proactive problem-solver who can anticipate requirements, manage competing priorities and work independently.

  • Ability to operate effectively in a fast-paced, regulated environment with multiple stakeholders.

  • Strong working knowledge of Microsoft Office, particularly Outlook, Word, Excel and PowerPoint.

Role Selling Points

  • Direct impact on senior leadership effectiveness and the overall performance of the business.

  • Opportunity to work closely with senior decision-makers and gain exposure to strategic business priorities.

  • A collaborative working environment that values initiative, professional development and individual contribution.

  • A varied role offering responsibility, autonomy and the opportunity to make a tangible difference.

If you thrive on making senior teams more effective and enjoy working in a fast-paced, professional environment, we would welcome your application. Applications will be reviewed as they arrive, and reasonable adjustments will be supported throughout the recruitment process.
