Client Information
The Company is an independent Australian theatre production company that develops, produces, and tours live theatre shows, working with creative professionals to deliver productions ranging from smaller independent performances to large-scale national theatre events.
Job Description
• Executive & Diary Management: Manage the Founder’s diary, appointments, meetings, Zoom calls, scheduling, priorities, and follow-ups.
• Client & Stakeholder Communication: Communicate confidently and professionally with clients and key contacts on behalf of the Founder, including senior and high-net-worth stakeholders.
• CRM, Systems & Administration: Maintain CRM records, organise filing and business data, manage client information, and assist with improving internal systems and processes.
• Canva & Presentation Support: Create and update professional Canva materials, presentation decks, and other business collateral.
• Website & Communications: Assist with general Squarespace website updates and Mailchimp communications as required.
• General Finance Administration: Provide general day-to-day finance administration and support as required.
• Business Support: Assist with document preparation, research, correspondence, meeting preparation, data organisation, and other general administrative requirements.
• AI & Process Improvement: Utilise AI and other technology where appropriate to improve administrative efficiency and support better business processes.
Must Haves
• Approximately 3–4+ years of Executive Assistant or senior administration experience • Previous experience supporting an Australian business or executive • Strong diary, calendar, and executive administration experience • Experience providing general finance administration support • Good understanding of CRM systems • Ability to maintain CRM information and manage client follow-ups • Excellent written and verbal English communication skills • Confidence communicating directly with clients, senior stakeholders, and high-net-worth contacts • Highly proactive approach with the ability to anticipate what needs to be done • Strong Canva skills • Experience creating and formatting professional presentation decks • Experience with Squarespace or similar website platforms • Familiarity with Mailchimp • Confidence using Google tools and Zoom • Ability to work independently, take ownership, and follow tasks through to completion • Excellent organisation and attention to detail • Experience with or an interest in AI tools would be highly regarded
