We’re a small, globally distributed team that thrives on collaboration, speed, and purpose — and we’re looking for an Executive Assistant who can help us stay organized, proactive, and ahead of the curve.
Role Overview
We’re seeking an Executive Assistant to support our leadership team across operations, scheduling, and communications. This role requires exceptional organization, judgment, and attention to detail. You’ll coordinate across multiple time zones, manage complex schedules, assist with documentation, and help drive follow-through on key initiatives. You’ll be the central link between creative, technical, and business functions — ensuring that priorities stay aligned and momentum is maintained.
Key Responsibilities
· Manage executive calendars, appointments, and travel logistics across multiple time zones
· Prepare agendas, notes, and action items for internal and external meetings
· Handle correspondence, emails, and document organization with discretion and clarity
· Assist in coordinating projects, tracking deliverables, and following up on key tasks
· Support the preparation of reports, presentations, and proposals for leadership meetings
· Collaborate with other team members to streamline communication and operational efficiency
· Maintain confidentiality on all sensitive matters and ensure timely execution of priorities
Qualifications
· 3+ years of experience as an Executive Assistant, Operations Coordinator, or similar role
· Strong organizational, multitasking, and time management skills
· Excellent written and verbal communication abilities
· Proficiency with Microsoft 365, Google Workspace, or similar productivity tools
· Experience working in a remote-first or distributed team environment
· High level of professionalism, confidentiality, and accountability
· Ability to anticipate needs and adapt to fast-changing priorities
Nice to Have
· Experience supporting founders, executives, or creative teams in a tech or startup environment
· Familiarity with project management tools such as Asana, ClickUp, or Notion
· Interest in AI, media, or the creator economy
