Position Summary
The Executive Assistant to the SVP of Marketing serves as a trusted strategic and operational partner, helping drive executive effectiveness, team alignment, and execution across Momentous' Marketing organization. This role extends beyond traditional executive support, operating in a chief-of-staff-like capacity to help translate leadership priorities into action, improve communication, and ensure key initiatives move forward efficiently.
Working closely with the SVP of Marketing, this role manages complex executive logistics, coordinates cross-functional priorities, tracks critical initiatives, and helps establish the processes and operating rhythms that keep the Marketing team focused and accountable. The Executive Assistant anticipates needs, identifies potential roadblocks, and brings structure and clarity to a fast-paced, evolving environment.
This is a highly visible, high-trust position requiring exceptional judgment, discretion, strategic thinking, and a proactive, solutions-oriented mindset. Success requires the ability to move seamlessly between detailed administrative execution and broader business coordination while serving as a trusted extension of the SVP of Marketing. The ideal candidate is a true business partner, not just an administrator — someone who anticipates needs and identifies opportunities to streamline workflows, improve communication, and protect leadership focus.
Responsibilities:
Executive Support & Prioritization
- Manage the SVP of Marketing's calendar, inbox, scheduling, travel arrangements, expenses, and day-to-day executive logistics.
- Proactively prioritize competing requests, protect leadership focus, and ensure time and resources align with key business priorities.
- Anticipate executive needs, prepare materials and information ahead of meetings, and proactively resolve scheduling or operational challenges.
- Exercise sound judgment and discretion in managing sensitive information, prioritizing requests, and making decisions on behalf of the SVP of Marketing when appropriate.
- Coordinate contracts, agreements, executive documents, and departmental expenses as needed.
Strategic Coordination & Execution
- Serve as a strategic thought partner and operational extension of the SVP of Marketing, helping translate priorities, discussions, and decisions into clear actions and follow-through.
- Track key initiatives, deliverables, and commitments across the Marketing organization, proactively identifying outstanding actions and potential roadblocks.
- Coordinate cross-functional projects and communication to improve alignment, accountability, and execution.
- Organize meeting notes, brainstorms, and working documents into concise summaries, actionable updates, and clear next steps.
- Follow up with team members and cross-functional stakeholders to ensure decisions are implemented and commitments remain on track.
Leadership Meetings & Team Communication
- Develop agendas, prepare supporting materials, and coordinate recurring leadership and departmental meetings.
- Own meeting follow-up, including capturing decisions, documenting action items, and maintaining visibility into progress and accountability.
- Assist with creating, formatting, and polishing executive presentations, reports, and strategic communications.
- Support clear, consistent communication of leadership priorities, business updates, and key decisions throughout the Marketing organization.
- Maintain organized documentation and information-sharing practices that improve team efficiency and collaboration.
Marketing Team Operations & Process Improvement
- Partner with the SVP of Marketing to identify opportunities to streamline workflows, improve communication, and increase operational effectiveness.
- Proactively engage with Marketing team members to understand needs, identify blockers, and help coordinate solutions.
- Support improvements to team processes, project tracking, and organizational systems that strengthen execution and accountability.
- Pilot, document, and help implement AI-enabled tools, automations, and productivity workflows to improve team efficiency.
- Provide coordination and logistical support for Marketing team meetings and team-specific activities as needed.
