About the Role
Casap is looking for an Executive Assistant to be a true partner to our CEO, Shanthi Shanmugam. You’ll run her calendar, inbox, travel, and priorities so she can focus on building the company. You’ll be her first point of contact for investors, board members, bank and fintech executives, candidates, and partners, and you’ll represent Casap with polish and discretion. You’ll be based near Princeton, NJ, because this role includes hands-on personal support alongside the business side.
What You'll Do
Calendar and Scheduling
- Own Shanthi’s calendar end to end: protect time for her priorities and rebalance quickly when urgent customer, investor, or board meetings come up
- Coordinate across time zones and calendars with candidates, search firms, our co-founder, and other leaders, keeping everyone informed when plans shift
- Prepare her for each day with agendas, briefs, and context on who she’s meeting
Communications and Stakeholder Relations
- Manage Shanthi’s inbox and ghostwrite emails in her voice to investors, board members, candidates, and partners
- Act as a trusted liaison for senior stakeholders, and build relationships with their assistants to make coordination easy
- Coordinate board meetings and dinners, including venues and logistics
Travel, Conferences, and Events
- Book all travel and itineraries, and re-plan quickly when flights are canceled or plans change
- Manage Shanthi’s conference schedules, triaging inbound meeting requests and partnering with Sales and Marketing on customer dinners and events
Personal Support
- Handle in-person errands and logistics, such as dry cleaning, returns, deliveries, and appointments
- Manage personal scheduling, reservations, and household vendors around a heavy travel calendar
Company and Team Support
- Partner with Sales, Marketing, and People on anything that needs Shanthi’s time or input
- Coordinate gifts and notes on her behalf, source vendors for swag and event supplies, and take on special projects that make the CEO’s office run better
What You’ve Done
- 4+ years supporting a C-level executive, ideally at a startup or high-growth company
- Based in or near Princeton, NJ, with reliable transportation
- Strong writer who’s comfortable writing in someone else’s voice, with excellent judgment and discretion
- Highly organized, proactive, and calm under pressure, able to re-plan a full calendar on short notice
- Comfortable with Google Workspace, Slack, and scheduling and travel tools
- Available for occasional urgent needs outside normal hours, especially during travel and conferences
Compensation
The base pay range for this role is $105,000 – $165,000 per year.
