This position is responsible for translating organizational priorities into coordinated action by supporting executive decision-making, Board governance, leadership team operations, strategic communications, and cross-functional initiatives. The role emphasizes organizational effectiveness, accountability, and continuous improvement rather than traditional administrative support. Success in this position requires sound judgment, discretion, exceptional organizational skills, strong written communication, and the ability to manage multiple priorities while maintaining a high level of professionalism and collaboration. DUTIES AND RESPOSIBILTIES Executive Director Partnership Manage executive priorities, projects, and follow-up activities. Coordinate strategic initiatives from planning through execution. Prepare executive correspondence, reports, presentations, and briefing materials. Support organizational planning and annual goal implementation. Anticipate needs, identify obstacles, and recommend solutions. Board Governance Coordinate Board and committee meeting logistics. Prepare agendas, board packets, and governance materials. Maintain annual Board calendars and work plans. Draft meeting minutes and track Board actions. Support compliance with governance policies and organizational requirements. Develop systems that improve Board effectiveness and engagement. Leadership Team Operations Coordinate leadership meetings and organizational planning sessions. Track strategic initiatives, milestones, and action items. Improve cross-department communication and accountability. Support implementation of organizational priorities. Communications Assist with internal communications to staff and leadership. Support external messaging, presentations, and organizational materials. Ensure consistency of organizational communications. Coordinate communication projects as assigned. Organizational Operations Develop and improve administrative systems and organizational processes. Coordinate cross-functional projects. Maintain documentation and operating procedures. Support organizational initiatives that improve efficiency and effectiveness. Future Scope Oversight of communications consultants and vendors. Coordination of website and social media contractors. Operational support for the Chief Financial Officer and Chief Program Officer. Leadership of special organizational initiatives and cross-departmental projects. Additional strategic operational responsibilities consistent with the position. QUALIFICATIONS Minimum Qualifications and Experience A Master of Business Administration (MBA) or a specialized master's degree is strongly preferred or required by many large organizations. 5 to 10 years of overall professional experience, with at least 3 to 5 years in a senior supervisory, administrative, or executive role. Proven success in strategic planning, P&L (profit and loss) oversight, budget management, and operational leadership. Preferred Qualifications Significant experience supporting executive leadership in nonprofit, government, or mission-driven organizations. Experience with Board governance and nonprofit governance practices. Strong project management and organizational planning skills. Excellent written and verbal communication. Ability to manage confidential information with discretion. Demonstrated ability to coordinate multiple priorities simultaneously. Experience developing organizational systems and improving operational processes. Proficiency with Microsoft 365 and collaborative technology platforms. Required Skills Ability to guide teams, mentor managers, and shape company culture. Exceptional public speaking, negotiation, and written skills to deal with stakeholders and boards. Strong critical thinking and data-driven problem-solving abilities. Working Conditions This role involves handling sensitive and confidential information and requires professionalism, empathy, and the ability to navigate complex interpersonal dynamics. Some evening or weekend work may be required. This is a hybrid role. Employees may be able to work from home two (2) regularly scheduled days a week after thirty (30) days of employment. Staff must remain responsive during standard business hours while working remotely. Work from home schedules shall be established in consultation with the Employee’s supervisor and approved by Program Directors and/or Human Resources.
